District Substitute Caller Secretary

8 Hours Per Day, Monday through Friday, Approximate Hours 5:00 a.m. to 1:30 p.m. (Includes 30 minute duty free lunch.) Flexibility may be allowed with a successful candidate to be approved for working remotely during early shift hours. 204 - 247 work day calendar to be negotiated with successful candidate. Position will be paid hourly due to the calendar flexibility.

Classification B Secretary Rate of Pay: Current WLSSA Contract: (Currently $16.68 to $23.83 Per Hour) New Hire Starting Rate of Pay $16.68

SUMMARY:

Provides the recruitment and placement for all aspects of substitute management for PreK - 12 Schools. Includes functioning as the absent management secretary with shared duties and responsibilities with the Payroll and Human Resources Departments.

REQUIRED QUALIFICATIONS:

• Ability to multi-task is essential

• Effective verbal and written communication skills is required. Should be able to adapt communication style to suit different audiences

• Work with efficiency and accuracy

• Ability to work under time constraints

• Ability to work well with individuals of diverse backgrounds

• Develop ongoing positive working relationships with team members

• Strong organizational skills are required

• Ability to calculate figures and amounts such as percentages, decimals, etc.

• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists

• Ability to communicate clearly and concisely, both orally and in writing and to interact positively with schools and community

• Enthusiastic, motivated and a positive “can-do” attitude

• Demonstrated experience in Word, Excel, Publisher, Google Docs

• Experience in RedRover and Business is preferred

• Associate’s Degree or equivalent, or one to three years secretarial/office experience

JOB RESPONSIBILITIES:

• Maintain a high level of confidentiality

• Arranges and books subs daily for teachers, secretaries, paras and etc. in the district

• Assigns same day substitutes when employees calls in to be absent

• Works with FMLA and other leaves for long term/short term coverage

• Maintains all absences in current RedRover platform

• Input New Hires into RedRover

• Reconciles RedRover invoice for accuracy

• Builds and maintains an active and current list of substitutes available to work in the district

• Builds and maintains an active and current list of Permanent Building Subs and Floating Building Subs and reassigns when necessary

• Works with Edustaff and Management to bring on new subs for the district

• Oversees attendance tracking and coding for teacher Professional Development in the district

• Assist team members when necessary

• Regular and reliable attendance is required

• Shared duties and responsibilities between human resources and payroll departments

• Other duties as assigned
