County Diesel and Driveline is seeking a skilled and detail-oriented Bookkeeper to join our team. As a Bookkeeper, you will be responsible for monitoring and maintaining the integrity of our Chart of Accounts, processing vendor bills, customer invoices and shop work orders using FullBay and QuickBooks, and providing the Human Resource function of all County Diesel employees. The ideal candidate will have experience in QuickBooks and possess other necessary computer skills to complete assigned tasks.
Duties and Tasks
Lead and administer the company’s Accounts Payable, Accounts Receivable, and all banking functions, including but not limited to:
- Input vendor invoices into FullBay and/or QuickBooks and apply to customers to ensure proper allocation and billing.
- Mail and/or email finished invoices to customers.
- Monitor daily the “Pay Bills” function within QuickBooks to ensure timely payment on bills.
- Balance monthly statements from vendors, work with vendors on any discrepancies, and issue payment before the due date.
- Evaluate “A/R Aging Summary” report daily and contact customers accordingly.
- Distribute monthly statements to credit customers and past due customers after assessing monthly interest charges when deemed necessary.
- Reconcile credit card statements monthly and work with other managers on accurate tracking of credit card purchases.
- Reconcile bank accounts monthly to ensure QuickBooks accuracy.
- Submit, file and pay monthly sales tax with the state.
- Participate in and provide reports for monthly and quarterly meetings.
Lead and administer the company’s Human Resources functions, including but not limited to:
- Perform all introductory interviews with applicants and share details with the Shop Manager and Parts & Service Manager to determine if there will be a second interview with department managers.
- Keep up-to-date postings for Diesel Technician positions or other future openings.
- Establish and maintain personnel files.
- Present all hiring forms necessary to new hires and keep copies of all documentation in the employees file.
- Work with insurance companies on any insurance claims that might arise.
- Administer employee benefits package and work with agents and advisors accordingly to ensure proper coverage and pricing.
- Submit employee payroll information weekly for direct deposit.
- Ensure employee and employer payroll contributions are allocated properly and timely each week.
- Submit, pay and file paperwork for Federal Tax Withholding, WI Tax Withholding, and WI Unemployment Insurance by their designated due dates.
Lead and administer the company’s Marketing functions, including but not limited to:
- Develop and maintain County Diesel & Driveline’s website.
- Advise and/or administer social media posts.
- Work with vendors in creating County Diesel clothing and other promotional items for customers and employees.
- Work with community organizations on making donations and contributions to fundraisers in accordance with the approved budget.
Miscellaneous office and shop duties are as follows, but are not limited to:
- Answering incoming phone calls from vendors and customers, and transferring them to the proper person, as well as taking messages.
- Monitoring and ordering necessary office supplies.
- Collecting mail, taking mail to the mailbox.
- Driving a company vehicle to pick up parts when deemed necessary.
Any other duties or tasks assigned by the general manager, deemed necessary for company success.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
