A busy Auto Body Shop in Island Lake, IL is looking to hire a part-time bookkeeper.
Position is 20-25 hours/week, and must be done on site. Must have at least 5 years of experience using Quickbooks ONLINE. Please note, this is different from the desktop version. Experience must be with the online version.
Client is seeking an experienced and detail-oriented Bookkeeper to monitor the finances of the company. On a daily basis, you will record all financial transactions into the correct general ledger and verify that they are accurate. You will also be responsible for maintaining financial records and generating weekly reports for the company. The ideal candidate has worked as a professional Bookkeeper for at least ten years, and with Quickbooks Online (QBO) for at least two years, and has experience managing bank accounts.
Duties include, but are not limited to:
1. Make all deposits in a timely fashion.
2. Monitor balances on a daily basis and make the Office Manager aware of any pending balance issues.
3. Keep QuickBooks current daily by entering all the events from the previous workday. This is a daily task.
4. Confirm with Customer Service Representative or Service Writer/Estimator where, who and how we are being paid for each job. This is a daily task.
5. Call on receivables on a continual and consistent basis. Keep the account current.
6. Contact any client or insurance company going over 45 days past due and notify the Office Manager immediately. This is a weekly task at a minimum.
7. Prepare weekly financial documents and give to the Office Manager on a weekly basis.
8. Gather and post weekly financial stats in the owner’s office and on shop boards.
9. Use Purchase Orders for all expenditures. POs will be approved by the Office Manager on a weekly basis with the weekly financial or on a case-by-case basis in the event of a shortage or emergency. This is both a daily & weekly task.
Ultimately, the Bookkeeper’s responsibilities are to accurately record all day-to-day financial transactions of the company.
