General Description:
Seeking a detailed individual to assist in handling the details of the company’s financial transactions, keeping accurate records and ensuring that payments are processed in a timely manner. A typical day of work includes processing invoices, filing tax forms, reviewing and approving timesheets, assisting vendors with questions regarding invoices, filing and assisting other departments with various tasks as needed. The position is full-time.
Primary Responsibilities:
Processing of accounts receivable and payables for multiple companies and LLCs. This includes coding and processing of vendor invoices on a timely manner, producing checks, and or processing online payments. Ensuring receipts are processed to correct customer to ensure proper accounting.
Processing of loan payments to ensure timely payment.
Posting of fees to various customers: late fees, charges for work done, and calculating of final accounting for customers.
Being able to track and monitor financial transactions, noting important details and integrating this information into the company’s records on a daily basis. This often involves meticulous data entry using accounting software. Ability to learn multiple software programs in order to retrieve financial information and reports.
Assist with end-to-end payroll processing, which covers employee timekeeping, payroll balancing and overall checking for accuracy.
Assist with year-end functions which include processing of 1099s and W-2s as well as preparing financial documentation to send to tax accountants.
Compile financial data to generate accurate balance sheets, cash flow statements, profit and loss reports and other summarizing documents. Analysis and forecasting may be part of the report.
Ability to organize data and dealing with paperwork. Includes filing, scanning and copy of documents. Keeping the company’s filing system organized and buying supplies.
Ability to assist in reconciliation of data submitted from off-site facilities to ensure accurate accounting of financial data.
Ability to use various computer programs to present data to owners, employees, bank representatives, and tax accountants. Programs to include: excel, word perfect, google docs, pdf editor, email, and power point.
Required Skills:
Bookkeeping knowledge – must have a strong grasp of bookkeeping principles, capable of generating company’s books both manually and through computerized methods
Math Skills – comfort with numbers is a core quality of successful bookkeepers, who perform lengthy arithmetic calculations with ease and relentlessly double-check figures for accuracy
Data Entry – efficiently input transaction information into spreadsheets or accounting software. Attention to detail is essential, as is proficiency with technology
Communication Skills – must exhibit well-rounded communication skills, since the job involves creating reports from complex data, expressing their findings to others, and interacting with vendors and clients
Multitasking – must be excellent multitasker who remain organized even when receiving data from various sources
Education and Training:
Minimum of Certificate of Accounting or one to two years of experience in data entry, bookkeeping, and payroll.
