    General Description of the Position

    Under the leadership of the Associate Vice-President of Academic Affairs the successful candidate for this position will provides administrative support for the efficient and effective management of the Office of Student Success.

    Essential Functions & Required Knowledge, Skills and Abilities

    The following are the functions essential to performing this job:

    • Composes routine correspondence for the Associate Vice-President of Academic Affairs.
    • Maintains a calendar and arranges appointments for the Associate Vice-President of Academic Affairs.
    • Makes appropriate travel arrangements for the Associate Vice-President of Academic Affairs and professional staff.
    • Arranges meetings with internal and external committees, groups.
    • Creates and maintains departmental files, both paper copy and electronic files.
    • Prepares monthly, quarterly, and annual reports for University College.
    • Processes invoices, requisitions, and purchase orders.
    • Manages the acquisition and organization of supplies.
    • Assists in the development of efficient office procedures.
    • Supervises clerical staff of lower rank and student workers in the office.

    Other Functions

    Individuals in this job may be assigned one or more of the following tasks on a rotating or as-needed basis.

    • Creates and distributes data and processing reports to external agencies.
    • Assists in planning and implementation of special events and training programs.
    • Handles and resolves customer (internal and external constituents) inquiries regarding student services
    • Creates reports of divisional activity (e.g. Student Committee Report, Board of Trustees Report) on a regular basis.
    • Arranges for the maintenance, repair and inventory of equipment.
    • Other duties as assigned by the Associate Vice-President of Academic Affairs.

    Required Knowledge, Skills, and Abilities

    The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:

    • Demonstrate ability to communicate effectively, using oral and written communication skills.
    • Demonstrate experience in the use of computers, spreadsheets, and computer applications (such as Excel, Word, Publisher, and Power Point).

    Qualification Standards

    • Education: Associate's degree in Business Administration or related subject. Bachelor's degree in Business Administration or related subject preferred.
    • Successful experience: One or more years of successful experience in managing, analyzing, and reporting using Microsoft Excel, Microsoft Word, Access, and PowerPoint. One or more years of successful experience in accounting principles, practices, and procedures. One or more years of successful experience in Delaware state accounting system (DFMS) and/or Banner Software a plus.
