Building Maintenance Supervisor

  • Job Summary:
    Performs a variety of skilled maintenance and preventative work for buildings and grounds including heating, ventilation, electrical, air conditioning and carpentry work as well as day-to-day routine maintenance and repairs; ensures clients comply with house rules; conducts routine checks of the facilities. Provides custodial care for the common areas of the building and the grounds. Conducts quarterly building inspections and submits conditions reports to supervisor. Researches, negotiates, and secures outside contractors and coordinates, supervises, and evaluates work of outside vendors.

    Maintenance Responsibilities (70%)
    Performs routine building maintenance activities; performs minor plumbing repairs required by leaking faucets and clogged toilets; performs carpentry work required to repair dents and/or holes in walls and paints walls;
    Performs routine electrical repairs; replaces and adds receptacles; repairs light fixtures; performs other miscellaneous electrical repairs;
    Provides daily care for all surfaces, fixtures and furnishings in the common areas and the grounds;
    Provides make-ready services for tenant apartments at turnover, including trash out, paint, minor repairs and cleaning; paints inside and outside of all buildings;
    Assembles and moves office furniture including chairs, desks, tables, bulletin boards, etc.; sets up activity rooms for functions;
    Monitors lighting and changes light bulbs when needed;
    During on-duty hours responds to emergency calls on the property, received from alarm monitoring company or supervisory staff via project-supplied mobile telephone; Maintains a log of emergency calls and responses;
    Maintains all tools, supplies, parts, and equipment belonging to the Maintenance Department;
    Monitor and assist with all cleaning and maintenance of facility, equipment, laundry, carpet and floors;
    Monitor all cleaning and maintenance activities performed by other maintenance department staff, clients, volunteers and community service workers;
    Monitors and orders all janitorial supplies, as well as supplies and equipment necessary for repairs;
    Ensures compliance for all facility inspections;
    Monitors all landscaping activities;
    Monitors facility for infestations and performs pesticide treatment when necessary;
    Monitors all property left by departed clients as per guidelines;
    Drives truck in order to pick up materials and repair items needed for maintenance work;
    Cleans surroundings after each repair job; ensures that all tools are collected and surroundings are left neat and clean.
    Researches, negotiates, and secures outside contractors for both routine services (fire alarm systems, elevators, HVAC, water treatment, etc.) and special services such as renovations; provides technical guidance for more complicated repair work; approves field work orders.
    Ensure facility remains aesthetically pleasing and equipment is in working order; completes inspections for all maintenance projects.
    Maintains all documentation necessary for audit and/or inspection purposes, i.e. fire inspection, reports, elevator inspections, boiler inspections, health department inspections, etc.
    Inspects, tests, adjusts and supervises the repairs of all physical plant machinery, heating, cooling, piping and electrical systems.
    Programs and monitors energy management system which tracks and detects the operation level of all heating, air ventilation, air conditioning, lighting, irrigation and security equipment; ensures that all equipment remains operational; tracks energy consumption levels in an attempt to optimize/conserve energy reserves.
    Performs a variety of skilled maintenance and repair for building and grounds including HVAC, plumbing, electrical, and carpentry.
    Conducts routine checks of the facilities to ensure that all doors are locked and that nothing is amiss; locks doors to ensure security of the facilities.
    Administrative Responsibilities (15%)
    Prepares, maintains and inspects records of all physical plant machinery, heating, cooling, piping and electrical system on a planned schedule.
    Prepares and maintains accurate records for all maintenance work performed including documenting length of time, cost and number of people, vendors and supplies involved; maintains the proper inventory and supplies.
    Responds to emergencies in a calm manner and initiates appropriate actions in accordance with established policies and procedures.
    Supervisory Responsibilities (15%)
    Plans, assigns, coordinates, supervises, and evaluates work of the assigned staff and outside vendors; instructs and trains employees in proper methods and procedures; monitors work in progress and upon completion for quality, completeness and compliance with established policies and standards; conducts performance evaluations of subordinate employees, interviews and makes hiring/firing recommendations.

    Other Responsibilities:
    Develops and maintains quality interpersonal relationships with Offices in charge of the various facilities.

    General skills in HVAC, plumbing, electrical, carpentry, masonry, and doors/locks.
    Skill in the care and use of tools and equipment used in the trades involved.
    Ability to detect defects in equipment and work with little or no supervision.
    Ability to interpret work order requests and determine the need for efficient and economical approach.
    Ability to organize work priorities and handle multiple duties simultaneously.
    Ability to meet attendance requirements.
    Ability to read, write, and communicate the English language effectively.
    Ability to perform strenuous, heavy work involving the lifting and carrying of heavy objects.
    Ability to perform continuous walking, stooping, standing, and some climbing.
    Ability to work under the pressure of deadlines and time constraints. Ability to drive a vehicle safely and in compliance of all laws and regulations

    Education and Experience:
    High school diploma or G.E.D., with two years course work from a vocational or technical school in heating, ventilation, and air conditioning, plumbing, electrical, and construction trades,
    and,
    Three years progressively responsible experience performing skilled maintenance and repair work for commercial buildings and grounds, with at one year in a supervisory capacity,
    or
    Any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
    Certifications: Valid State Driver’s License

    Physical Requirements/Working Conditions:
    Duties require frequent periods of physical mobility including but not limited to standing, walking, climbing, stooping, squatting, and lifting. Physical duties may be relieved by brief or occasional periods of sitting.
    Work requires the ability to lift and carry and/or push/pull heavy (50-100 lbs.) materials, supplies, and equipment frequently. Heavy mobility; duties are usually performed by combinations of standing, walking, climbing ladders or steps, bending, reaching, or transporting merchandise on frequent change basis relieved by fewer periods of sitting or operating a vehicle.
    Working requires driving a vehicle and working outdoors daily with exposure to physical discomforts associated with changes in weather such as rain, cold, snow, heat or discomforts associated with noise, dust, dirt, and the like.
