Business Office Director - Healthcare directs the day to day activities of a hospital's business office. Responsible for admitting and registration, patient billing and collection, third-party payer relations, and preparation of insurance claims. Being a Business Office Director - Healthcare administers policies and procedures and ensures all office activities comply with hospital standards and government regulations. Ensures that patient financial matters are handled in an efficient manner. Additionally, Business Office Director - Healthcare requires a bachelor's degree. Typically reports to top management. The Business Office Director - Healthcare manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     The Business Office Representative is responsible for performing a variety of duties related to the operation and revenue cycle of an efficient Ambulatory Surgery Center.

    The Representative will work in areas responsible for the Registration process for all patients including creating case binder and explaining HIPPA related documents, perform Insurance verification prior to and at time of service, provide communication to patients regarding amount due at TOS, perform collection calls to patients, processing payments and creating budget plans, provide support to any function included in the Business Office including HIM and/or PST.

    Essential Duties:

    • Obtaining and entering missing patient demographic/ insurance information.
    • Confirms authorization was obtained by rendering provider and is accurate. Enter notes from EPM into HST.
    • Contact patients to discuss expected amount due for patient responsibility, establish payment arrangement as per established process.
    • Details the insurance benefits, eligibility and authorization in HST system.
    • Utilizes HST generated reports to accurately ascertain surgical schedules and send to the appropriate staff.
    • Maintain workflow task and visit note process as assigned per Business Office Team Lead and department protocol.
    • Logs batches appropriately and maintains working in 'date order' unless otherwise directed by management.
    • Ensure all patient payments/adjustments are balanced in HST as per process provided by Business Office Team Lead.
    • Generate and submit patient statements weekly through HST and Zirmed established process.
    • Generate and monitor Demand Statements for patients on Budget Plan.
    • Enter detailed and complete notes within HST as per established process.
    • Reviews account balances and aging reports for Self-pay patients. Identify and take action on accounts which are in arrears following established protocols.
    • Assists patients who need explanation of their accounts; accept payments
    • Notifies or consults Business Office Team Lead of any conflicts or issues in a timely manner.
    • Follows procedure for notification of changes in the schedule (e.g. cancellation, rescheduling)
    • Works with a sense of urgency with regard to assigned work.
    • Additional duties may be assigned depending on department needs.
    • Receives patients and visitors to the office; communicates arrivals promptly according to established system protocols.
    • Takes responsibility for collecting and posting payments from patients at time of service by checks, cash or credit card in compliance with Cash Control Policies and Procedures.

    • Daily Credit Cards - batched, processed via electronic terminal, entered into daily log, terminal reconciled and transmitted daily.

    Qualifications:

    • Some post-secondary education with emphasis in Business, Mathematics or Accounting helpful but not essential.
    • Background in claims processing and reimbursement preferred.
    • Understanding of CPT, ICD-10 and HCFA.
    • Excellent interpersonal and customer service skills
    • Detail oriented
    • Strong problem solving and research skills
    • Excellent math, verbal and communication skills
    • Computer proficiency
