JOB SUMMARY
This position reports to the Arts Divisional Finance Director.
The Arts Business Office Assistant is responsible for a wide variety of functions to support the Arts Division. The Arts Business Office Assistant is responsible for performance of organizational and administrative tasks. This position works to assist the Divisional Finance Director with the Divisional Business Office workload. This position serves as the primary support to the Arts Division Finance Director for tasks and projects within the Arts Division Business Office.

Salary Information: Salary Range: $24.64 - $35.30 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
100% - Divisional Administrative Assistance
- ProCard Administration
- Enters XTOE, XTOF, Transfers for the Arts Division
- Encumbrance Liquidations
- Updates spreadsheets
- AIS billing
- CruzBuy ordering
- Updates Divisional user lists and employee activities
- Reviews divisional reimbursement requests such as lower level ERFs, Direct Pays, and Travel reimbursements for accuracy and completeness
- Serves as sub-cashiering support for the Arts Division
- Assists with website content updating
REQUIRED QUALIFICATIONS
- Experience working in an office setting with common office software applications (spreadsheets, email, word processing, etc.)
- Ability to work effectively as a member of a team and establish and maintain cooperative working relationships with diverse groups of faculty, staff and students
- Ability to exercise good judgment and discretion in handling confidential information
- Ability to learn internal control principles and systems
- Ability to perform detailed work with a high degree of accuracy
- Proficiency in the use of spreadsheet, reporting, database, word processing, financial information software, and ability to learn new information systems
PREFERRED QUALIFICATIONS
- Knowledge of University financial procedures and systems
- Experience with or ability to learn campus financial system (Banner/FIS), Student Billing system (AIS), UCSC purchasing system (Cruz Buy) and campus Data Warehouse system
SPECIAL CONDITIONS OF EMPLOYMENT
- Selected candidate will be required to pass a pre-employment criminal history background check.
