Business Office Supervisor- Healthcare supervises day to day activities of a hospital's business office such as admitting and registration, patient billing and collection, third-party payer relations, and/or preparation of insurance claims. Additionally, Business Office Supervisor- Healthcare typically reports to a manager. The Business Office Supervisor- Healthcare supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. Thorough knowledge of functional area under supervision.     Job Description

    • Conduct Bi-weekly site visits and provide associated Trip Reports for follow-up
    • Provide BOM coverage during PTO or position vacancies
    • Responsible for RFMS sign-up process/training
    • Monitor Medicaid application process, keep updated PAP status excel sheets for all Communities
    • Assure BOM's are working on PL and PP collections weekly to include collection calls weekly with notes entered into Matrix
    • Ensure BOM's forms are uploaded for every admission (admit packets and RFMS authorization forms included)
    • Assist with Collection efforts based on needs
    • Ensure we have a PASRR for each PA resident
    • Perform random RFMS audits at Communities
    • Work with BOM's to ensure admit packet trackers are up to date
    • Provide re-training and guidance for existing Community staff when needed
    • Provide training for new hires with duties related to A/R (i.e. Medicaid application/eligibility process from start to finish; Medicaid Redetermination process, collection issues, etc..)
    • Coordinate weekly meetings with BOM to ensure continuous follow-up with Social Security Office, Medicaid Office, Family or Resident
    • Facilitate or assist with Medicaid pending application and re-determination process
    • Responsible for upload of aged private accounts into 3rd party portal
    • Handle remote deposits at the Community level and establish back up is available at all locations
    • Attend weekly Medicare meetings at all locations when on-site or at least Monthly
    • Request all the necessary access for newly hired Business Office Personnel
    • Participate in new hire interviews for Business Office Personnel to render feedback
    • Ensure compliance with Regulations and Survey Readiness to include participation in Mock Surveys
    • Review/compliance of Business Office Functions i.e. Personnel records, segregation of duties, AP/AR, Resident Trust, Petty Cash etc.
    • Assist with ADR's upon request
    • Works directly with Operations on site visits/schedules/needs of Communities
    • Participates as a member of the management team as Regional Business Office Support
    • Partners with the Executive Team (Finance and Operations) on Analysis, strategic initiatives, and aging improvements
    • Ensure compliance with SOP's at all locations
    • Any other duties as assigned

    Requirements:

    • A Minimum of 3 years’ experience as a Regional BOM in SNF setting

    At least 2 years of supervisory experience required

    Extensive knowledge of Resident Fund Management Software (RFMS)

    Ability to analyze reports and identify gaps/inefficiencies/problems which could impact the business

    Knowledge of Matrix/Word/Excel

    Project management skills

    Strong leadership skills

    Extensive knowledge of Indiana Medicaid/Managed Care/Medicare/Part D and IL Medicaid in SNF setting

    Excellent follow-up skills, strong attention to detail, persistency

    Strong attention to detail

    Ability to Travel based on demands of Communities

    Excellent organizational skills and demonstrated ability to multi-task and prioritize while meeting deadlines
