POSITION DESCRIPTION
Position Title: Admin II
Position Supervises: None
Reports To: Controller and Manager of Administration and Finance
Description: Perform all aspects of AP for vendors with purchase orders. Process all customer payments and credit cards. Provide customer service and customer support for Quadient issues. Responsible for AR collections.
1. AP – match invoices and CM to PO, ensure items were charged to customer, input invoices into E-Auto, review vendor statements – for all PO vendors
2. Enter all vendor invoices (non-PO)
3. Quadient Account Manager – manage, track, and report all Neopost invoices, payments, and credits. Report weekly to Owner and Controller.
4. AR – post all customer payments, including Mail Finance pass through, Great America pass through, and credit cards.
5. Monitor AR aging reports, provide customers with statements as needed and perform collection activities for past due amounts
6. Process supply invoices.
7. Track all software quotes for payment and order as needed.
8. Provide customer service to all customers both internal and external.
9. Works when needed to meet deadlines set by management.
10. Practices good attendance, punctuality, and dependability.
11. Always provides professional communication to both internal and external customers.
12. Performs job functions in accordance with competencies and demonstrates initiative in learning new skills and developing competency.
13. Performs other duties as assigned.

15. Works when needed to meet deadlines set by management.
