The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation.
The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY
Under the general supervision of the Systems Manager, the Client Relationship Management (CRM) Specialist will apply their skills as a seasoned, experienced database professional to diagnose and address issues of moderate to complex scope; deepening the capabilities of the Slate platform to meet the growing needs of Undergraduate Admissions. They will recommend and implement changes to database elements to assure proper hygiene and compliance with database standards. The CRM specialist will develop, deliver, and maintain template libraries, standard queries and on demand or custom reports within Slate. The incumbent will conduct on-going analysis of business processes to deliver solutions that align with the overall department roadmap. They will serve a key role in the development and maintenance of a new application review tool and student portal within Slate.
This position requires strong interpersonal communication skills, as the incumbent will lead or assist in coordinating projects as part of a cross-functional team. The candidate will communicate with peers and work closely with department leadership (e.g. Marketing and Communications and Outreach and Recruitment) to learn about Admissions' operations and challenges, translating desired outcomes into action using standard features of the Slate platform. The CRM specialist will work closely with staff who perform various roles within Undergraduate Admissions to understand their needs, assess their skill level, and develop training and resource assets that meet various learning modalities.
The incumbent must be able to think critically and creatively about how the Slate platform can be used to increase efficiencies and provide a more holistic experience to students, parents, and counselors to achieve enrollment goals, and be adaptable, growth minded, and able to work with a diverse team of individuals with varying technological knowledge. The incumbent must also be able to function independently, own their work, and see projects through to completion.
This position is a hybrid in-person/telecommute position. There is an opportunity for this position to be fully remote upon approval from the Director of Undergraduate Admissions.
APPOINTMENT INFORMATION
Budgeted Salary: $82,300 - 85,000/Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary above the posted range. The salary shown above is the budgeted range the University reasonably expects to pay.

JOB DUTIES
- 20% - Creates and documents technical specifications to meet user needs within the department, including developing and implementing complex CRM-user interface designs. Conduct on-going analysis of business processes, make recommendations and deliver solutions that align with the overall department roadmap. Proactively gathers, analyzes, prepares and summarizes recommendations of process and procedural documentation, implementing approved changes.
- 20% - Provides support and training on new CRM features to users with varying backgrounds and experiences. Consults with department leadership about how staff may better use applications that are currently available to them. Plans and executes unit integration and acceptance testing for Slate.
- 15% - Monitors and evaluates how staff use the CRM tool to determine how it can be used more effectively to meet business needs. Analyzes, prepares and summarizes business and user needs, documenting requirements and developing reports that outline shortfalls and problems with the current use of the system. Educate staff about system functions to navigate expectations relative to capabilities.
- 15% - Supports development of on-going and new drip email campaigns, specifically updating the template to be used and ensuring the logic is accurate. Assists in executing communications emails using new or existing templates, specifically ensuring targets are accurate. Builds and checks queries (quality assurance) for mid to high risk communications involving student business processes.
- 15% - Works as part of a larger team on one-off and regularly occurring technical projects within the CRM tool and other university systems. Participates in cross-functional teams to address complex business or systems issues as the owner of technical aspects of the platform. Interacts with department leadership to align business needs with CRM technical solutions.
- 10% - Creates reports using queries and data collected within Slate platform to support Undergraduate Admissions needs.
- 5% - Performs other functions as needed.
REQUIRED QUALIFICATIONS
- Self-motivated with the ability to work independently and as part of a diverse, professional team.
- Demonstrated ability to communicate technical information to personnel at various levels in an organization, including those with limited technical skills. Must possess strong interpersonal communication skills to work with business sponsors on complex, technical issues.
- Thorough knowledge of business and process analysis functions.
- Significant experience working with complex databases, including knowledge about the processes of developing, delivering, and maintaining template libraries, standard queries, and self-service reports.
- Demonstrated good judgment in selecting methods and techniques to obtain solutions within a CRM tool.
- Strong skills and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture (CRM specific).
- In-depth understanding and skill in process and systems requirement documentation standards, such as Use Case modeling, User Story creations and narrative description.
- Experience effectively negotiating timelines and priorities to deliver projects of varying size and urgency.
PREFERRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Broad knowledge relating to software design.
- Demonstrated testing and test planning skills.
- Thorough knowledge and experience working with a diverse student population.
- Experience working in higher education computing environments.
