We are looking for a Customer Service Representative for our Collision Shop for our Large Indianapolis Facility.
Summary: Customer Service Representative receives payments from customers and employees for goods and services and records the amount received in an accurate manner using the dealership computer system. He/she will also, be responsible for billing of Body Shop repair orders, general filing, and other office duties associated with dealership efficiency. The Receptionist is sometimes the customer's last contact with the dealership and therefore, must represent the dealership in a friendly and professional manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
-Opens Repair Orders with appropriate customer, vehicle, and repair information in ROME and then transfers
-RO information to ERA.
-Checks for new assignments three times a day and calls on those assignments to schedule customers.
-Monitors estimate / drop schedule and notifies estimators immediately of any schedule conflicts so that the estimator can reschedule appointment if necessary.
-Verify that all work authorizations have been signed. (Autho, POA, House Bill, Check-In)
-Update ARMS system daily with estimated completion dates and reasons for date changes as well as set reservations in ARMS if ERAC representative is unavailable.
-Greet customers promptly and professionally.
-Answer telephones, take messages, and respond in a helpful manner to all inquiries regarding the status of customers vehicles in the Body Shop.
-Utilizes the "Stop Rental" button in ARMS when customers come to pick-up their vehicle.
-Go through vehicles that have been done and not picked-up and recall customers for pick-ups.
-Go through Total Loss vehicles and call to see when they will be picked up.
-Receives cash and credit card payments from customers and records the amount received at the time of delivery and does a final check to verify where funds are coming from.
-Makes change and issues receipts to customers and employees.
Refers customers who have additional questions, to the appropriate individuals.
