  • Avicenna Cardiology is searching for an experienced Medical Operations Lead to join our cardiology practice, located on Park Avenue in Midtown Manhattan. Our ideal candidate is self-driven, punctual, and reliable. She/he will relish the opportunity to shape and support the operational strategy of a high-growth, upscale specialty practice. She/he will bring in prior experience from a well-run, efficient practice aided by modern EHR systems. Our ideal candidate will also bring in medical experience to support the clinical side of the practice as needed.

    JOB SUMMARY: 
    The Medical Operations Lead is responsible for all aspects of the daily and strategic operations of our cardiology practice. This includes patient intake and discharge; ensuring proper documentation of patient information, both for clinical and insurance / administrative purposes; other administrative duties in service of maintaining the office. Other responsibilities include limited medical assistant procedures when necessary. 

    ESSENTIAL SKILLS AND ABILITIES: 
    Possesses deep knowledge (built from experience) of specialty practice operations
    • Empathetic with patient needs and concerns
    • Knowledge of electronic health record systems (prior experience with AdvancedMD EHR a plus)
    • Knowledge of practice management systems (prior experience with AdvancedMD PM a plus)
    • Excellent communication skills
    • Good problem-solving and analytical skills
    • Ability to handle change nimbly during our high-growth phase
    • Ability to work as a team member 
    • Well-organized with attention to detail and documentation
    • Ability to manage multiple projects simultaneously
    • Ability to work well with physicians, anticipating their needs regarding patient treatment 

    RESPONSIBILITIES: 
    • Welcome patients empathically and in a friendly manner at all times.
    • Completely and accurately fulfills all required patient intake processes, including, but not limited to: 
    • insurance information, 
    • patient medical history, 
    • consent forms, 
    • current medical information (experience as a medical assistant a plus.)
    • Takes vital signs as required.
    • Obtains or updates medication list if necessary.
    • Completely and accurately fulfills all required patient discharge processes, including, but not limited to:
    • educating the patient after the physician establishes the treatment plan, 
    • ensuring the patient understands the treatment plan, before the patient leaves the office
    • scheduling all follow-up appointments necessary
    • Leads relationship with insurance billing partner, making sure 
    • patient insurance information is up-to-date
    • visit notes and other information pertinent to insurance claim submission is properly filed
    • Explanations of benefits (EOBs) and other pertinent materials are correctly documented
    • Collaborates and communicates effectively with the physician and nurse practitioner. 
    • Maintains the integrity of patient medical records as well as administrative records. 
    • Monitors and maintains equipment to insure proper operation as needed. 
    • Ensures maintenance of treatment rooms and work areas in compliance with OSHA standards. 
    • Orders and stocks inventory and supplies as needed for maintaining treatment rooms and other office areas. 
    • Performs other duties and tasks as needed.
