    EXECUTIVE ASSISTANT

    The Michigan Association for Justice (MAJ) is looking for a well-organized Executive Assistant to provide high-level administrative support for the Executive Director. The individual in this position will be responsible for the performance of diverse administrative tasks, and special projects, as needed. A successful candidate will be assertive, motivated, able to manage multiple priorities, and have excellent oral and written communication skills. A strong attention to detail is vital for this position.

    MAJ’s office is in Lansing, Michigan, however the staff is working remotely with weekly in-person meetings. We are looking for a candidate in the Metro Detroit area. Occasional travel (quarterly) across Michigan does occur.

    JOB RESPONSIBILITIES

    • Executive Management
    • Oversee master list of Executive Director’s goals and objectives
    • Identify and track tasks for the Executive Director. These tasks may range from complex, multi-step, long-term projects to meeting follow up items.
    • Take detailed notes for Executive Board meetings and provide notation for Executive Director’s meetings.
    • Assist the Executive Director in meeting all deadlines set for projects.
    • Scheduling
    • Take the lead on managing Executive Director’s calendar to ensure that priorities are met.
    • Proactive scheduling with members, vendors, and legislators.
    • Scheduling the Legal Counsel’s calendar with members and legislators.
    • Book travel for ED and other staff as needed.
    • Internal Communications
    • Assist with prep and facilitation of staff, board, and committee meetings.
    • Manage the tracking of and follow up on items from meetings.
    • Communicate with staff, board, and/or committees on the status of projects and ensure timely responses from relevant members of the MAJ team.
    • Administration and Bookkeeping
    • Assist with the collection of data for all MAJs internal accounting and reporting obligations.
    • Oversee payroll, vacation tracking, and basic HR needs
    • Assist with the planning and execution of MAJ events as needed.
    • Manage and track all expenses of Executive Director
    • Collaborate with other administrative staff to ensure smooth operation of the office, including additional projects as needed.

    REQUIREMENTS

    • Strong organizational skills and attention to detail
    • Excellent verbal and written communications skills
    • Highly proficient in Microsoft Office, especially Microsoft Excel
    • Familiarity with payroll processing
    • Discretion and confidentiality in handling sensitive information
    • Comfortable with technology and able to learn new skills quickly.
    • Must have your own transportation.

    APPLICANTS ARE MORE COMPETITIVE IF THEY HAVE

    • Proven experience as an Executive Assistant preferred.
    • Familiarity with QuickBooks
    • Experience working with AMS, Canva, Adobe Suite, or similar program.

    SALARY, BENEFITS, AND HOW TO APPLY

    Position is full-time and requires periodic travel. MAJ offers competitive salary in the range of $50K to $60K, based on experience. Our benefits package includes employer-paid health, vision, and dental insurance that starts after the first 30 days of employment and a 401k contribution after one year of employment.
