Chief Medical Director| Executive Director of Clinical Operations

  • Position Summary:

    The Chief Medical Director| Executive Director of Clinical Operations [CMD|EDCO] provides vision, direction and oversight of clinic operations across all programs and disciplines practicing at clinical locations. The CMD|EDCO is responsible for the development of a clinic strategic plan and annual objectives that will foster excellent student learning opportunities, an enriching practice environment for private practitioners, robust billing practices, compassionate patient scheduling approaches, along with effective and efficient retail operations.


    Essential Job Duties:

    Administrative

    • Oversight for Clinical Operations for the University across all existing clinical sites (Kenmore, San Diego, Seattle).
    • Oversight and responsibility for the development of future clinical sites and associated operations.
    • Responsible for developing and providing a strategic approach for the overall division that includes unique goals and objectives [as needed] by site.
    • Responsible for leading the effective management and appropriate resolution of clinical and operational issues and serving as the public liaison in said instances.
    • Responsible for developing, managing, and meeting quarterly and annual financial goals for each department [within the clinic] along with managers/leads.
    • Responsible for increasing economic and efficient performance of the medical teams along with providing exceptional patient care and services.
    • Oversees and attends meetings with internal and external constituents.
    • Responsible for working alongside Academic and other Departments/Divisions [e.g., Finance, HR, IT] of the University.
    • Responsible for participation in the clinical marketing planning, co-development of marketing/promotional content as needed, engagement and ownership of clinic-relevant marketing initiatives. The CMD|EDCO will possess a level of true co-ownership with the successful marketing of the clinics in order to maximize meaningful patient visits
    • - driving revenues and driving patient contacts for students.
    • Ensures the conceptualization and project management for operational endeavors and projects.
    • Maintains awareness and involvement in the hiring process for positions, as necessary.


    Clinical

    • Maintains direct responsibility for planning, directing, and evaluating medical activities.
    • Ensures patient and client treatments comply with internal policies|procedures, clinical protocols, and regulatory requirements according to local, state and national standards.
    • Responsible for overseeing and managing clinical operations for the teaching clinics in the absence of the Clinical Medical Officer including Clinical Supervisors [e.g., Assistant/Associate Deans, Clinical Leads].
    • Ensures patient|client needs are met across all clinical sites based on academic and operational directives.
    • Maintains ultimate responsibility for ensuring established metrics are achieved by administrators, faculty physicians and clinicians within the teaching clinic.
    • Maintains responsibility for protecting and securing all clinical assets, including financial.
    • Responsible for ensuring appropriate and ongoing training of staff occurs in connection with department leadership.


    Business office

    • Responsible for ensuring that the business office, comprised of the Practitioner Care, Billing and Patient Service Representative areas, operates in a clinically and fiscally responsible manner and according to established goals.
    • Directly supervises the Manager of the Business Office.
    • Co-responsible, with the Manager of the Business office, for ensuring the success of the financial and operational goals of this department.


    Retail Operations

    • Directly Supervises the Manager of the Bastyr Natural Medicine Shop and University Bookstore operations.
    • Co-responsible, with the Manager, for ensuring the financial efficacy of the operations in this department.


    Other Responsibilities

    • Complete special projects assigned by the President
    • Performs other duties as assigned.

    Knowledge, Skills, and Abilities:

    • Demonstrated ability to work effectively with a variety of constituencies-administrators, faculty, staff and students; ability to maintain a high level of confidentiality.
    • Experience in business or operations management or equivalent experience
    • Excellent time management and problem-solving skills
    • Excellent leadership skills and an ability to collaborate well with others
    • Concentration on continuous improvement in the clinical, business office and retail areas
    • Excellent critical thinking skills and elevated multitasking skills
    • Awareness of issues in the field of clinical operations
    • Demonstrated commitment to promoting and implementing inclusive and equitable practices within the clinical environment.
    • Strong oral and written communication skills. Ability to draft correspondence, informational materials and reports.
    • Ability to successfully engage, potentially under a high stress environment, with representatives of the media or public groups wishing for a statement or comment regarding Bastyr University or Bastyr Clinics. Willing to frequently be a public facing representative of the university and have ease in these interactions.
    • Ability to communicate clearly and persuasively with providers, students and patients and in one-on-one and group venues. Able to make connections with individuals and with small and large groups by being personable and friendly.
    • Strong analytical and computer skills. Ability to use complex database programs to extract, integrate, and analyze data.
    • A proven record in data and trend analysis and assessment.
    • Excellent customer service skills.
    • Detail oriented and able to spot errors quickly.
    • Ability to be a self-starter and explore, conceptualize and execute new initiatives.


    Experience:

    • Five (5) years of progressively responsible experience in a higher education or clinic setting.
    • Supervisory experience in a higher education environment required.
    • Five (5) years experience using electronic health records systems.


    Education:

    • This position requires a Professional degree or equivalent in one of the clinical practice areas currently taught at the clinic.
