Student Affairs - Coordinator

  • I. JOB SUMMARY

    The highly visible incumbent is responsible for managing the day-to-day responsibilities of the Vice President for Student Affairs (VPSA) while ensuring peak performance of the division. This includes but is not limited to: finding and ensuring efficiencies within the division, assisting the Dean of Students (DOS) with administrative needs, providing budgetary support for the Student Government Association, managing state required health form submission and providing administrative support needed. The successful candidate will be a self-starter who thrives amidst an ever-changing and unpredictable work environment and will have demonstrated skills in the areas of student support, detail oriented, multi-tasking, fiduciary responsibilities, and programming. The Coordinator for Student Affairs reports directly to the Dean of Students & Title IX Coordinator. Typical business hours are Monday-Friday from 8:30 am to 5:00 pm but extended hours may occasionally be required when the university is in session to manage workload and attend meetings and University functions. Through organization and management, this 12-month position helps to ensure that the University is “student-ready” and that every student has the opportunity be engaged outside of the classroom.

    II. PRIMARY JOB DUTIES

    • Ensure effective management, scheduling, and communication within the Student Affairs Division;
    • Manage and coordinate all federal immunization requirements and associated holds in collaboration with CastleBranch and the Student Success Center;
    • Manage all phone calls, messages, and meeting requests for the Vice President for Student Affairs & Dean of Students;
    • Serve as the lead on the implementation and upkeep of the Engage software
    • Oversee the 40 division work studies and manage the internal Graduate Assistant request process;
    • Coordinate University mascots (Saint & Maggie) care as needed;
    • Implement new employee on-boarding process for the Division of Student Affairs;
    • Keep and distribute all meeting agendas and meeting minutes from the Student Affairs Division;
    • Oversee all bookkeeping within the Student Affairs Division including credit card expense report on behalf of the VPSA, DOS and SGA;
    • Serve as the Financial Advisor for the Student Government Association;
    • Coordinate all forms needed for the Student Government Association;
    • Manage all room and technology requests as needed for events and meetings on behalf of the Student Affairs Division;
    • Work closely on initiatives as needed with any/all staff members within Student Affairs;
    • Organize and manage any needed tools and supplies;
    • Assess daily operations within the office and provide recommendations for peak performance;
    • Ensure a student-centered departmental environment with a focus on customer service;
    • Attend and participate in “all-around” days such as Move-In, Orientation, Open Houses, Accepted Student Days and the like;
    • Support the overall campus programming model by collaborating with faculty, staff, and SGA on initiatives and events;
    • Serve on various University committees as directed by the VPSA or DOS;
    • Other duties as assigned by the Vice President for Student Affairs and Dean of Students.

    • Ability to innovative and offer administrative recommendations;
    • Ability to work with a wide variety of individuals on campus and in all areas of the community to accomplish student life objectives;
    • Ability to make sound professional judgments, often under deadline pressure, when dealing with student related issues;

    IV. JOB SPECIFICATIONS

    • Education: Bachelor’s degree required.
    • 2-4 years of administrative and/or organizational experience.
    • Handle multiple tasks and priorities at once while solving problems and thinking innovatively;
    • Administrative, organizational, supervisory, and budget-management skills;
    • Possess the ability to react calmly and effectively in emergency situations;
    • Extended periods of sitting, standing, stair climbing, maneuvering objects of substantial weight;
    • Must possess a student-centered personal philosophy and an amazing sense of humor.

    V. PHYSICAL AND ENVIRONMENT REQUIREMENTS

    • Mental/Visual Demand and Physical Effort
    • For normal office environment must be able to lift 25 lbs. from floor level.
    • Must be able to lift and maneuver normal size full file box for archival purposes.
    • Must be able to occasional bend, twist, and stoop.
    • Frequent typing of a computer keyboard.
