    JOB SUMMARY
    The Student Affairs Office Coordinator will advance the mission of the Arkansas Colleges of Health Education in part by providing a wide variety of administrative and operational support across the Student Affairs Division. The Student Affairs division is a fast-paced environment where flexibility, discretion, and teamwork are key. This position plans, organizes, and manages the daily operations of the office environment, including but not limited to facilitating the delivery of services to all ACHE students. This position coordinates and responds to inquiries from internal college departments, as well as a variety of community and external agencies. Excellent written and verbal communication skills are required. Additionally, this position requires a high attention to detail, and ability to manage multiple time-sensitive projects. This position reports to the Sr. Assistant Dean Student Affairs. The candidate should be student-centered, creative, team-oriented, and versed in cultural diversity.
    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
    • Manages workflow of student and visitor traffic for Enrollment Services and Student Support Services offices.
    • Manage the collection and proper distribution of sensitive student documents and information that come into the office.
    • Responsible for planning and budgeting operational needs.
    • Manage office purchasing.
    • Tracking and monitoring of divisional expenditures.
    • Coordinate and schedule event and meeting locations for divisional offices and events.
    • Manage the day-to-day operations of the Student Affairs division including screening of phone calls and e-mails, opening and distribution of mail as requested, the greeting of visitors, and use good judgment to determine those requiring priority attention.
    • Support events within the Student Affairs division as directed by the Sr Assistant Dean Student Affairs.
    • Serves as liaison between the Student Affairs division and the ACHE Administration for the coordination of activities and events.
    • Effectively and timely record, distribute, and maintain minutes for meetings and committees as directed by Sr Assistant Dean Student Affairs.
    • Exercise discretion when managing and disseminating sensitive student information with internal and external stakeholders.
    • Demonstrate an ability to work as a group member and as a team player.
    • Demonstrate and model an ongoing ability to work cooperatively with colleagues, faculty, supervisors, administrators, and support staff.
    • Demonstrate the highest standard of professionalism and ethical behavior in all aspects of personal and professional actions and performance.
    • Demonstrate adaptability and the willingness to assist the college in fulfilling its mission and vision through administrative duties and community service and/or perform special duties as assigned.
    • Maintain and track written and electronic communications with key offices on campus.
    • Advance the prestige of ACHE through advancement of its mission and vision.
    • Other duties as assigned by supervisor or designee.
    QUALIFICATIONS AND CREDENTIALS
    Education and Experience
    Minimum Qualifications
    • High school diploma
    • Three (3) years of progressive experience as office management or executive support staff
    Preferred Qualifications
    • Bachelor’s degree
    • Documents management experience
    • Basic accounting skills
    • Experience at an accredited university or college
    Required knowledge, skills, and abilities
    • Demonstrate proficiency in computer skills, i.e., Microsoft Office.
    • Display professionalism for the college in all communication and interaction.
    • Ability to maintain confidentiality and privacy.
    • Ability to prioritize and organize numerous and varied assignments.
    • High-energy, versatile, self-directed, ability to collaborate effectively.

    • May be required to accomplish job duties using various types of equipment/supplies to include, but not limited to pens, pencils, calculators, computer keyboards, telephone, etc.
    • May be required to transport oneself to other campus offices, conference rooms, and on occasion, to off-campus sites to attend meetings, conferences, workshops, seminars, etc.
    • May require occasional travel or work away from campus.
    • Required attendance at events representing ACHE within, as well as outside, the college setting.
    • Frequently required to work at a desk, conference table, or in meetings of various configurations.
    • Frequently required to see for purposes of reading matter.
    • Frequently required to hear and understand speech at normal levels.
    • Occasionally required to lift items in a normal office environment.
    • Frequently required to operate office and presentation equipment.
