GENERAL DESCRIPTION:
The Program Assistant is responsible for providing support to the Pinal Home Visitation Programs. Primarily responsible for day to day office management, data entry and other general program purchasing and management of materials and supplies. Provides coverage for the reception area.
SUMARY OF ESSENTIAL JOB FUNCTIONS :
- Provides ongoing administrative support to Program Director and program staff including preparing and editing presentations, analyzing and compiling data, and creating reports.
- Schedules and coordinates meetings and events including notification of attendees, preparing and distributing agendas, scheduling meeting space, meeting room set-up and ordering food and supplies.
- Answers the telephone and provides reception coverage.
- Coordinates travel arrangements for all program staff.
- Purchases and manages program supplies and equipment.
- Maintains inventory of Program Equipment such OAE, Pure Tone Hearing Screeners and Spot Machines, as well as Program IT Equipment.
- Files and retrieves documents and historical reference materials.
- Creates and maintains program documents, lists, forms, calendars and schedules.
- Takes minutes at Advisory Council meetings and other Collaboration meetings when Office Manager is not available.
- Assists with special projects and program-related tasks as needed.
- Interacts with external clients as well as internal staff at all levels. Attends All Staff meetings and other meetings upon request; Performs other related duties as assigned.
- Pick up Diapers in Tucson quarterly.
- Pick up or drop off supplies to CG on occasion.
REQUIREMENTS:
- H.S. Diploma, Associates preferred. Bi-lingual preferred
- Strong written and verbal communication skills. Exercises discretion in acquiring and disseminating confidential and proprietary information.
- Strong interpersonal skills including ability to effectively work with the general public, clients and staff. • Ability to establish and maintain accurate records.

ABILITY REQUIREMENTS:
- Sitting for extended periods of time daily; standing and walking short distances.
- Moderate twisting, bending, stooping and lifting up to 40 pounds in the performance of assigned duties.
- Normal manual dexterity and eye-hand coordination required.
- Repeated hand-wrist movement required.
- Ability to use a variety of office equipment and machines as referenced.
- Ability to work effectively as part of a team.
- Ability to meet all set deadlines.
- Ability to work with diverse populations, which include but are not limited to diverse cultural, social economic status, lifestyles.

- Basic computer skills such Word, Excel and Outlook.

- Must be eligible for and able to obtain a Class 1 Fingerprint Clearance Card.
