    Job Summary: The Program Support/Receptionist reports to the Associate Director of Enrollment, Data and Fiscal Compliance of Choices for Children. This role provides general office support and program support with a variety of clerical/administrative activities and tasks. This role is responsible for answering incoming calls, directing calls to appropriate persons, mail, and supply distribution as well as additional clerical duties as needed. This role will assist with the waitlist, sorting of attendance logs and payment receipts, new enrollment tracking, and providing support to the counselors. They are also responsible for promoting Child Development, Inc. / Choices for Children’s mission and values.

     

    Responsibilities:

    • Greet and direct visitors (including families with children) and applicants to the company when they arrive in the office.
    • Interview families to determine their needs for childcare services and place the family on the CFC waiting list as needed.
    • Sort out monthly attendance log processing for distribution to family counselor for payment.
    • Sorting of payment confirmation and receipts.
    • Receive, sort, and forward incoming mail.
    • Perform clerical duties such as photocopying, mailing, filing, and collating.
    • Monthly provider’s approval process (1st run only).
    • Pre-make new provider packets and handbooks for all staff.
    • Make a copy of all parent’s forms for the counselors to use.
    • Answer the telephone and direct the caller to the appropriate person.
    • Provide basic information to families or potential clients, such as an address, directions, CFC website, or phone numbers.
    • Provide administrative support such as maintaining staff scheduling lists, and other information.
    • Send out parents/providers survey and create a summary survey report once a year.
    • Enter school schedules of all schools in Stanislaus County into NoHo systems once a year.
    • Organize and send the inactive files to the storage once a year.
    • Create or edit parent’s and provider’s forms as directed by the managers.
    • Translating client’s forms to another language.
    • Email and/or call waitlist parents for enrollment when needed.
    • Working with Senior Program Support to collect all necessary documentation for new families from CFC waiting list before enrollment.
    • Data entry for new families and providers as directed by the managers.
    • Track and record all new enrollments.
    • Coordinate and support meeting room scheduling and maintenance.
    • Special projects and administrative support as assigned.

    • Professionalism in representing the organization in dealing with internal/external customers, families, and/or providers.
    • Able to communicate oral and written information in a calm, respectful and positive manner, both in English and Spanish.
    • Ability to understand timelines, adhere to deadlines, and a sense of urgency when needed.

     

    Qualifications, Knowledge, and Skills:

    • Proficiency in English and Spanish required.
    • High school diploma required; some college preferred or equivalent years of experience.
    • Minimum 1-2 years’ experience in administrative, receptionist or office experience.
    • Professional office experience required and good phone etiquette.
    • Basic knowledge of organization and business practices.
    • Excellent computer and data entry skills.
    • Strong customer orientation and good communication skills.
    • Solid organization and time management skills.
    • Detailed oriented with excellent record keeping skills.
    • Ability to problem solve, meet deadlines and follow through.
    • Ability to maintain sensitivity when interacting with a culturally diverse population of care providers, staff and program administration.
    • Is open and responds to feedback.
    • Flexibility to reprioritize workload or to work on a variety of special projects.
    • Ability to work independently and as part of a team.
