Client Services Director directs and oversees the implementation operations of an organization. Oversees a team responsible for installing and deploying technical systems, software, hardware, or solutions. Being an Client Services Director implements policies and creates procedures to ensure consistency and high-quality work. Ensures that the timelines, planning, scoping, and cost estimates support successful projects that meet the needs of the client organization. Additionally, Client Services Director tracks implementation timeliness and client issues and develops solutions to implementation problems or challenges. Develops team skills and expertise with coaching and training activities. Requires a bachelor's degree in area of technical specialty. Typically reports to senior management. The Client Services Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Client Services Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.     As a Client Services Specialist, you will play a crucial role in delivering excellent communication that results in patients scheduling and maximizing the capacity of the clinician's available schedule. You will ensure a seamless check-in process where all clients arrive on time for their scheduled appointments and make their payments promptly. By providing a welcoming environment and demonstrating empathy and care towards our clients, you will help our patients access the care they need to lead happy, healthy, and well-balanced lives. 


    Job Duties & Responsibilities:

    • Maintaining a welcoming environment in the clinic's waiting room and beyond.
    • Handling all communication channels promptly and efficiently.
    • Communicating effectively that leaves people feeling understood and taken care of.
    • Checking in clients for their appointments promptly and with care.
    • Collecting payments and processing them securely
    • Ensuring all patient scheduling processes are accurately maintained and documented including initiating scheduling calls and reminders as needed.
    • Maximizing therapy providers' schedules and filling openings promptly.
    • Coordinating with therapy providers, billing, insurance companies, doctor offices, and 3rd parties to ensure patient appointments are authorized by their insurance.
    • Maintaining and updating client records through data entry. 
    • Tracking and reporting statistics related to scheduling and patient attendance.
    • Implementing attendance interventions and celebrating clients with perfect attendance.
    • Contributing to a fun and productive work environment.

    • Ability to quickly learn and use technology for effective data management and communication, including basic programs such as email, word, excel, and powerpoint.
    • CPR & First Aid certification and up-to-date immunizations, including TB skin test documentation.

    Additional skills that would be beneficial for success:

    • Experience in a healthcare or therapy setting
    • Knowledge of insurance benefits, billing and reimbursement processes
    • Familiarity with electronic medical records systems
    • Ability to navigate and utilize online scheduling platforms
    • Ability to handle challenging and emotional situations with empathy and professionalism
