Client Services Representative (Banking), Sr. jobs in Wilmington, NC

The Elder Law & Life Care Planning Center is looking to hire a Client Services Administrator to the team!

ESSENTIAL DUTIES AND RESPONSIBILITES:

• Take ownership of Client files for file management from inception to completion which includes draft and review disability documents (DPOA, HCPOA, HIPAA, PCP, DOCUBANK), email PDF drafts to client or call client for pick up, follow-up with phone call that email has been sent, follow up for changes, complete changes and print for day of meeting
• Funding and beneficiary review

o Review what is needed with client prior to funding meetingo Complete asset sheet (as necessary) beneficiary and/or transfer forms for funding meeting.o Review documents at funding meeting obtaining signatures and then forwarding to appropriate vendor. Follow up with client to ensure funding is complete. * Client preparation of documents for meeting to ensure attorney has needed documents

• Proofing documents in advance of client meeting
• Handle prospective client intake
• Conduct data entry into practice software for Trusts and Will building
• Draft ancillary trust documents such as Funding letters, Trustee instruction letters, CPA letters etc.
• Conduct client meetings reviewing ancillary documents and update changes on ancillaries
• Participate in client meetings to update documents prepared by the attorney
• Process credit card payments via CLIO (client management system)
• Handoff documents to client upon completion
• Initial Consult/Vision Meeting intake back-up in a timely manner, then provide file to client services coordinator
• Open office for the day as back-up: Turn on lights, unlock doors, turn on television with PowerPoint presentation, and turn on copier. (in absence of client services coordinator)
• Professionally answer telephone; screen and direct phones calls as back-up. Ensure phone calls are returned daily
• Greet clients and/or perspective clients upon entry into the office in a positive, upbeat and friendly manner
• Copy, scan and file documents as necessary
• Take ownership of maintaining files and ensure accurate filing of documents in appropriate folders.
• Create reports, utilizing Excel, based on requested needs
• Manage incoming and outgoing communications (mail, fax and e-mail)
• Participate in off-site Forums including set up and take down
• Assist in maintaining a clean and presentable office
• Ensure closing procedures: safe locked, copier off, lights off, doors locked, alarm set.

Qualifications:

• 4-year college with advanced degree preferred
• A minimum of five years high- level office and marketing experience. Legal experience is not a requirement. This can be learned
• Mandatory working knowledge in Microsoft Excel and Word

• Excellent written and verbal communication skills with acute attention to grammar and syntax
• Ability to multi-task, meet deadlines, and accurate completion of assigned tasks
• Highly organized and detail-oriented
• Professionalism and exceptional interpersonal skills for both internal clients (other team members) and external clients, who sometimes need extra attention and patience given their ages
• Works well under pressure and in a fast-paced environment
• Ability to commute to and from other locations
• Flexible to changing priorities
• Self-directed and list- oriented to ensure timelines are met

Job Type: Part-time

Pay: $16.00 - $20.00 per hour

Compensation package:

• Bonus opportunities

• Monday to Friday

• Shallotte, NC 28470: Reliably commute or planning to relocate before starting work (Preferred)
