Medical Administrative Support Specialist Part-Time positions available in a multi-disciplinary wellness facility providing consumer orientation to pre-registration, intake, and coordination of scheduling mental health services and substance use disorder services for individuals, couples, and/or families. The Medical Administrative Support Specialist is responsible for the pre-registration, registration, assessment scheduling, referrals to inpatient services, scheduling care coordination therapeutic support appointments, assisting the Intake Coordinator, Direct Care Providers and Clinical Service Team in the admission of incoming consumers, monitoring transition to lower levels of care, and Discharges. Assisting incoming consumers with insurance-related concerns, obtaining authorizations and discuss requirements of payment for services rendered, collects co-pays prior to services rendered and obtains authorizations works closely with counselors and clinical service team and reports directly to the department program supervisor.

•Previous reception and/or clerical support experience, preferably in a mental health,
medical setting or community healthcare setting: 3 years experience required
•Majority of the responsibilities will take place onsite some community outreach and
meetings may require off site attendance.
Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls
- Organize and schedule appointments
- Write and distribute emails, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports
- Provide general support to visitors
Qualifications
Bachelors Degree Preferred
- 3 years or more proven experience as an administrative assistant medical office admin assistant-Preferred
-Excellent computer software skills is a must!
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Skills Required:
- Computer literacy: Proficient in Google Apps, MS Office (Word, Excel, PowerPoint, Outlook)
- Customer service: Ability to provide friendly and professional customer service to clients and visitors
- Project coordination: Experience in coordinating projects, managing timelines, and ensuring tasks are completed on schedule
- Data entry: Accurate data entry skills with strong attention to detail
- Clerical: Knowledge of general clerical duties such as filing, photocopying, scanning, etc.
- Transcribe: Ability to transcribe audio recordings accurately and efficiently
- Proofreading: Strong proofreading skills to ensure accuracy in written documents
- Medical receptionist: Familiarity with medical terminology and experience working in a medical office setting is a plus
- Typing: Fast typing speed with high accuracy rate
- Phone etiquette: Professional phone etiquette with excellent communication skills
