Clinic Receptionist is responsible for greeting and registering patients as they enter the admitting ward of a hospital or clinic. Provides phone, clerical, and data entry support including insurance verification. Being a Clinic Receptionist directs patients, visitors, and callers to appropriate parties and answers basic questions. Requires a high school diploma. Additionally, Clinic Receptionist typically reports to a supervisor or manager. The Clinic Receptionist possesses a moderate understanding of general aspects of the job. Description
The main purpose of this position is to lend administrative and secretarial support to all office staff. The administrative duties of this position are as follows but may be altered at the discretion of your immediate supervisor.
Essential Functions:
1. Greet active clients, prospective clients or visitors who enter the office to determine whether or not they can be helped.
2. The Receptionist will be responsible for any or all of the following if other duties permit:
· Sorting, date stamping, distributing incoming mail and scanning documents
· Copying, collating and scanning
3. Refer prospective clients who cannot be served by the agency to the appropriate service provider including any available outreach center or Florida Bar services.
4. Perform typing assignments as requested.
5. Assist in community events as required.
6. Maintain and prepare statistical information relative to clients.
7. When performing the functions of Intake Specialist, answer incoming calls and transfer the call or send a case note to the appropriate staff member.
8. In emergency situations screen prospective clients. If the caseload requires, the receptionist may be relieved from their other duties for a period of time as determined by the office manager for the purpose of maintaining the case files current.
9. Take outgoing mail to the post office daily.
10. Perform other duties as assigned.
Requirements
1. High School Diploma or GED.
2. Must type a minimum of 50 wpm.
3. Some knowledge of the legal system, commitment to the mission of FRLS and compassion for the clients.
4. Ability to forge positive relationships with prospects, colleagues and the community.
5. Good organizational, interpersonal and communication skills.
6. Ability to work collaboratively and independently.
7. Must be able to effectively and efficiently be able to maximize the use of existing resources.
8. Working knowledge of Microsoft Suite (Word, Excel, PowerPoint and Outlook) and CMS.
9. Must be able to effectively work in high pressure situations which involve deadlines.
10. Bilingual Spanish/Haitian Creole preferred but not required.
