    Clinic Receptionist Lead/Supervisor position is responsible for the effective and efficient operation of the Front Office functions at all UCHC clinics. The incumbent works collaboratively with other UCHC managers & supervisors to ensure cross-organizational cooperation and mutual support.

    Essential Functions:

    1. Manages the daily functions of the front office in a professional manner to ensure efficient operation of the clinic. Ensures excellent customer service is provided to every patient and every provider by the front office personnel.
    2. Maintains health care facility operations by initiating, coordinating and enforcing policies and procedures involving health care programs, operations and personnel.
    3. Represents UCHC by promoting programs, contributing to community programs and groups.
    4. Delivers quality patient care services, establishing standards and developing team building among medical, nursing and administrative staff.
    5. Maintains appropriate qualified staff by recruiting and selecting, support staff with the direct supervision of the Clinical Manager. Ensures all employees receive the proper and needed training to empower them to correctly do their jobs. Develop a formal orientation program for all new hires to ensure the success of those employees.
    6. Assures staff performance results by coaching, counseling, disciplining, mentoring, planning, monitoring and evaluating job performance. Daily monitoring of each employee to ensure accurate and consistent performance of the employee’s job duties/responsibilities.
    7. Promotes front staff development by providing educational opportunities and keeping staff informed.
    8. Maintains cooperative relationships among the team by communicating information; responding to requests; building rapport and participating in problem-solving methods.
    9. Develops the staff work schedules in coordination with the Clinic Leads to ensure that the clinics are properly staffed in order to provide the medical staff with the needed support to provide patients with as pleasant and efficient check-in to the offices.
    10. Determine in collaboration with Patient Accounts the reports needed to monitor employee and clinic performance in order to identify areas that need attention/improvement. Monitor the weekly Rejection Report for front desk errors and institute resolution to reduce mistakes.
    11. Ensures correct charge and payment entry procedures are followed. Reviews charges for accuracy, investigates coding and billing issues and interfaces with Patient Accounts to identify solutions and resolve issues in a timely manner.
    12. Ensures professionalism is displayed and practiced by all front office personnel within the clinics.
    13. Works in conjunction with the Back Office Lead/Supervisor to ensure cooperation between the front office and back office staff.
    14. Is responsible for ensuring the clinic facilities are clean and properly maintained, and that all office/IT/communications equipment within the clinic is in good working order. Informs appropriate staff of facility and equipment deficiencies and needed repairs.

    Additional Duties & Responsibilities:

    1. Attends and participates in staff, scheduling meetings, operations meetings and all mandatory in-service
    2. training. Also participates in voluntary in-service or outside trainings as appropriate.
    3. Assists in orientation and training of new staff and/or student externs as appropriate. Assists new UCHC
    4. staff with practice management orientation and training.
    5. Participates in inter-disciplinary task forces and work groups as relevant.
    6. Participates in and complies with Quality Improvement initiatives and on-going continuous improvement efforts as appropriate
    7. All other duties as assigned.


    Requirements

    Qualification/Requirements:

    • Associates or Bachelor degree preferred.
    • Demonstrated leadership ability
    • Medical front desk experience preferred
    • Experience with medical record-keeping and documentation
    • Experience with MS office, Word, Excel, and Access and/or medical practice management systems, preferably GE Centricity
    • Reliable means of transportation
    • Valid Arizona driver’s license
    • Current CPR certification

    Experience/Skills:

    • Leadership or supervisory skills (hiring, training, coaching, identifying and addressing performance
    • issues. Identifying and addressing process and procedure issues along with development and
    • maintenance of policies and procedures.)
    • Proven ability to work collaboratively with senior managers and other manager/supervisors to develop
    • program integration and cross department connectivity system-wide.
    • Experience with diverse work forces and customer populations.
    • Moderate to extensive experience with practice management system software and with Microsoft Office applications.
    • Ability to communicate effectively in writing and orally. Bi-lingual English/Spanish skills preferred.
    • Ability to define problems, collect data, establish facts, draw valid conclusions, and formulate solutions
    • Demonstrated planning and organizing skills (for self)
    • Demonstrated knowledge of group process and decision-making.
    • Ability to read, analyze, and interpret general business periodicals, professional journals, technical
    • procedures, or government regulations.
    • Ability to write reports, business correspondence, and procedure manuals.
    • Ability to effectively present information and respond to questions from groups.
    • Ability to calculate figures and amounts such as percentages
