Position Summary:
The Data Specialist will be the primary point of contact for the Program Coordinator as it relates to program data, report completion and participant follow up. The Data Specialist will maintain confidentiality of all sensitive client data and ensure that incorrect client data is properly advanced to leadership for resolution. The Data Specialist provides technical assistance in data input, data tracking, and data analysis/visuals, to support BGCM’s development department. This position oversees database management, database training, and data-compliance tracking.
The Data Specialist is an experienced and proficient using analytics software to clean, format, and analyze data submitted by the Clubs through the TraxSolutions or City Span software and develops data visualization reports monthly, quarterly, Mid-Year and Year-end. Requisite skills needed include cleaning data, formatting datasets for use with analyzing data. The Data Specialist works closely with the development department to design and build graphs and perform data analyses.
Essential Functions:
- Ensures all Clubs enter program data in a timely and accurate manner into TraxSolution and/or CitySpan management systems, and executes regular data imports and exports as needed
- Assists with membership application process
- Provides technical assistance, monitors and maintenance of database which includes, but is not limited to database training and developing the database
- Maintains confidentiality of sensitive members data according to BGCM’s privacy and confidentiality standards
- Runs reports to monitor data, communicates with supervisor and Club Directors about inconsistent or incorrect data, and troubleshoots data errors
- Generates program activity reports on a weekly/monthly/quarterly/mid-year and year-end basis
- Support Evaluation and Data team in organization-wide projects towards developing organizational capacity for data collection and evaluation such as: database improvements, logic models, CQI model development, etc.
- Optimize database usage across the organization by staying current on upcoming enhancements to functionality and guiding staff in the appropriate use of the existing functionality
- Create data cleanup and maintain calendar for the organizations databases
- Reviews and updates organization’s procedures for use of database to increase efficiency and enhance performance
- Use software to create forms, reports, dashboards and user support trainings

- Must be able to manage multiple projects simultaneously with high degree of accuracy and attention to detail
- Must be able to work in a fast-paced environment with minimal supervision and with attention to accuracy, details and deadlines
- Knowledge of the mission, vision, values, core beliefs, objectives, policies, programs, procedures, principles, and practices of non-profit organizations, youth development services preferred
- Experience working with and demonstrating compassion and/or sensitivity toward vulnerable populations and individuals with diverse backgrounds present in the organization’s service population, both individually and in groups
- Ability to establish and maintain effective working relationship with Club staff, Board members, volunteers, community groups, and other related agencies

Required:
- Required Education: Associate’s Degree or Bachelor’s degree
- Years of Experience required: A minimum 3 years of relevant experience
- Must be able to effectively navigate and function within a virtual environment
- Must be able to work with sensitive information and maintain confidentiality and deal effectively and tactfully with BGCM’s staff and partner agencies
- Must be proficient in the use of Windows, Internet, Microsoft Suite (Microsoft Teams, Word, Excel, Outlook, Access or other database software proficiency), Zoom or other Virtual Meeting platforms, and Google Platform (Drive, Docs, Sheets, Slides)
- Ability to earn and maintain mandatory CPR & First aid certification or obtain within 6 months of hire
- Maintain a valid driver’s license and meet eligibility requirements to drive a BGCM vehicle
- Must be able to pass a drug test, criminal and driving records investigation
- The ability to read and write is necessary to complete reports and properly document program and organizational data
- Must have reliable transportation to get to sites or meetings
- Must have regular and reliable attendance
