Position Summary: To assist the Student Information System Manager and provide registrar services to elementary and middle school families. Essential Functions: 1. Student Information Management (40%) Maintain the integrity of the district’s student information database including legal flags, descriptions, and designations. Enter student information during the summer in the absence of building secretaries and communicate those changes to each building secretary. Assist SIS Manager in fulfilling SIS Footprints for clerical staff. Enter information for all babies from the census. 2. Registration/Enrollment (20%) Assist SIS Manager with registration activities relating to student enrollment into the district SIS. Assist SIS Manager when needed with enrollment and management process using the district SIS for all students who come to and leave the district. Enroll new student registration information into Infinite Campus as well as process withdrawals of students. 3. Clerical Training/Support (15%) Assist the SIS Manager during staff training on district SIS standards. Serve as an assistant trainer for staff using the district’s SIS in the areas of data entry. New Elementary and Middle School clerical plans. Lead trainer for Finalsite. Create and maintain the Secretary Training Manual. 4. Data Integrity (10%) Report database issues to the SIS/Technology Services department for problem/resolution process. Maintain confidentiality of student and staff information at all times. Provide assistance in performing year-end processes for the district SIS. Information verification via Infinite Campus SIS Reports (Guardian Verification, Address Change-Boundary School, Address change-Override, Birth to 5, and Birth Certificate). Audit Reports (Communication, Household, Wrong School, Override). Family Handbook Address Report. 5. Customer Service (5%) Answer phone calls from parents during the summer in the absence of building secretaries. Assist families with New Student Enrollment in person and by phone. 6. Continuous Improvement (5%) Attend SIS User Group Conferences, training sessions, and meetings. Stay abreast of new/potential processes (Google training, Messenger 2.0, SPED Backpack, OLR Setup, National File Exchange, Field Trip). 7. All other duties as assigned (5%) Other Responsibilities: 1. Required Education, Experience, and Skills:
1. High school diploma (Associate's degree preferred) and additional computer education and/or experience.
2. Successful secretarial work and office experience.
3. Demonstrated proficiency in language and computational skills including the use of a student management system. Infinite Campus experience preferred.
4. Thorough knowledge of current office practices and procedures.
5. Experience with word processing, database, spreadsheets, etc. Experience in using MS Excel to gather, sort, and create professional looking displays, graphs, and charts
6. Able to interact tactfully, effectively and courteously with staff and others encountered on the job.
7. Able to staff the position during the hours required within the business day.
8. Able to maintain accurate and complete records and prepare clear and detailed reports.
9. Ability to make reasonable decisions in absence of the supervising administrator.
10. Such other qualifications as the Board may find appropriate and acceptable.
