  • What you can expect as a Patient Collections Specialist

    This individual is responsible for collecting, posting, managing patient account payments, and is accountable for contacting and following up regarding delinquent patient payments via mail, phone and practice management software. This person is responsible for the management of Patient Accounts Receivable by collecting payments from patients. They also prepare reports on a weekly basis that provides the status of patient accounts.


    Collections Specialist Responsibilities

    • Contacts patients via phone to determine the reason for overdue payments and attempts to secure balance in full or a payment arrangement using negotiation skills and other techniques.
    • Evaluates patient’s financial status and establishes budget payment plans.
    • Follows and reports status of delinquent accounts.
    • Uses practice management software for tasking and tracking patient collection processes/status.
    • Sends form letters to patients to encourage payment of delinquent accounts.
    • Records information about the financial status of patients and status of collection efforts with utmost accuracy.
    • Corresponds and coordinates with billing staff regarding collections.
    • Maintains and increases collections rate, minimizes write-offs, and reduces accounts receivable to meet department goals.
    • Communicates effectively and efficiently with providers on write-offs.
    • Answers questions from patients, clerical staff, and insurance companies regarding unsettled medical bills, reimbursements, and billing discrepancies.
    • Identifies and resolves patient billing complaints.
    • Prepares, reviews, and sends patient statements.
    • Reviews delinquent accounts and makes recommendations to the Billing Manager, also prepares information for collection agencies or attorneys to initiate the payment collection process.
    • Maintains strict confidentiality; adheres to all HIPAA guidelines / regulations.
    • Process patient payments and refunds.
    • Identifies medical coding mistakes, typing errors, as well as patient under and over payments and rectifies them accordingly.
    • Performs other duties as assigned.

    Education/Experience

    • High school diploma or equivalent with
    • Two years of office experience in medical billing or collections OR,
    • Knowledge and understanding of copays, coinsurance, deductibles, and denial codes.

    Preferred Skills/Experience:

    • Knowledge of medical billing and collection practices.
    • Proficient computer literacy skills.
    • Attention to detail and the ability to prioritize tasks independently.
    • Excellent customer service skills.
    • Knowledge of basic medical coding and third-party operating procedures and practices.
    • Ability to operate a multi-line phone system.
    • Demonstrates assertiveness regarding collections, while being sensitive to customer service.
    • Must be able to establish and maintain effective working relationships with patients, medical staff, management, and
      peers.
    • Ability to work in a team and independently.
