Basic Functions:

At Baldwin Real Estate Corp, we take pride in delivering exceptional property management services to our commercial tenants. As a Commercial Facilities Administrator, you'll play a vital role in ensuring the smooth operation of our properties. 

Responsibilities:

Day-to-Day Operations Management:

• Oversee the day-to-day activities of our commercial properties, ensuring a seamless tenant experience and efficient maintenance procedures.
• Act as the central point of contact for tenant inquiries, addressing concerns and coordinating service requests using our property management software.
• Foster positive relationships with tenants, property managers, and vendors through clear communication and proactive problem-solving.

Maintenance and Inspection Coordination:

• Schedule and manage routine and special inspections of our properties.
• Generate detailed reports summarizing inspection findings and coordinate any necessary repairs or maintenance work.
• Oversee vendor relationships, ensuring timely completion of work orders and adherence to budget guidelines.

Recordkeeping and Compliance:

• Maintain comprehensive and accurate records of property data, including tenant information, lease agreements, and inspection reports.
• Ensure tenant and vendor compliance with lease terms and safety regulations.
• Manage and upload certificates of insurance for both tenants and vendors within our property management software.

Project Support:

• Assist with special projects as needed, such as collecting property data during tenant turnover, coordinating facility upgrades, and managing vendor contracts.
• Work collaboratively with other departments to ensure smooth property operations.

Qualifications:

• Minimum of 1 year of experience in commercial property management or a related field.
• Strong understanding of commercial property maintenance and operations, including familiarity with common building systems and relevant regulations.
• Excellent communication, interpersonal, and organizational skills with the ability to prioritize multiple tasks manage deadlines, and work independently.
• Proficiency in MS Office Suite and property management software.
• A valid driver's license is preferred.
