    Position summary:
    Responsible for overseeing and optimizing all aspects of production across our print and digital departments. Provides direct supervision to staff and ensures that departments are properly staffed, motivated and coordinated to perform duties effectively to achieve goals and maintain a high degree of client satisfaction. Works with Content Manager and Digital Product Manager to develop, implement and manage policies, programs, systems and procedures to meet client needs and the company’s growth and profitability objectives.

    Essential job functions:
    • Manages day-to-day operations of production staff to perform duties effectively and efficiently.
    • Understands Coffey’s product offerings and serves as the internal and external point person for Site Assist (Coffey’s CMS) and Coffey’s digital services. Works closely with the sales team and key customers.
    • Establishes policies and procedures to provide ongoing and systemic process review and improvement protocols. Identifies potential barriers to progress and points of friction and works with management team to find solutions.
    • Collaborates with management for attainment of goals and develops performance standards for measuring progress. Conducts continuing assessment of department's performance as compared with corporate strategies.
    • Works in concert with CEO and VP of Business Development and Marketing to manage changes in departmental direction, as required by client and market needs. Encourages a staff environment that fosters a receptivity to and quick response to change and openness to continuous review of quality and efficiency.
    • Manages workflow using scheduling software to determine that department is properly staffed and coordinated to perform duties effectively and efficiently.
    • Assesses and analyzes client budgets and allocated hours to ensure profitability of all projects.
    • Manages day-to-day operations of assigned staff. Meets with teams daily to ensure that expectations are understood and progress is made.
    • Coaches and monitors employee performance and holds staff accountable for outcomes while encouraging professional development and ongoing training.
    • Works with management and staff members to develop, implement, manage and enhance the technology systems used in the department. Participates in identifying innovation trends and business opportunities within the market.
    • Understands, maintains and adheres to all Coffey policies and communicates policy expectations to staff. Ensures that staff members comply with all HIPAA policies and procedures.

    Other responsibilities:
    • Runs weekly project and productivity tracking reports to project staffing needs to ensure that benchmarks are met; analyzes data and suggests solutions for improvement.
    • Looks at staffing needs and works with Human Resources to fill positions as needed.
    • Collaborates with Finance to assess current and new vendor needs.
    • Reviews and resolves variances between production-initiated POs and matching vendor invoices.
    • Works with Finance to improve the cost accounting process and assist with any changes.
    • Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either orally or in writing.

    Education, experience and skills:
    • Bachelor’s degree in business administration, marketing, public relations, communications, journalism, English or related field or equivalent education or experience.
    • Seven to 10 years of experience in operations with demonstrated ability to successfully manage a large staff and develop policies and procedures. Highly developed ability to strategize systems and procedures and manage projects independently to meet challenges with creative solutions.
    • The ability to set vision and drive concepts and strategies through the entire production process.
    • Excellent written, verbal, persuasive and interpersonal skills.
    • Highly developed skills fostering synergy, enthusiasm, optimism and energy in the workplace while being firm and decisive about meeting policies, procedures, deadlines and goals. Ability to motivate staff and communicate clearly to foster effective teamwork.
    • Uses discretion and maintains confidentiality when working with administration, clients and Coffey staff members.
