    Position Summary

    The Assistant to the Director of Institutional Effectiveness is responsible for providing clerical, administrative, and project support to the Director of Institutional Effectiveness. This position maintains current general knowledge of appropriate college and departmental policies, processes, and procedures to ensure the efficiency and integrity of the Institutional Effectiveness department.

    SALARY: Appropriate placement on Salary Schedule E4 04 (range: $38,979 - $56,128).

    This position will be based initially at the Wallace campus in Dothan.

    Essential Duties and Responsibilities

    ESSENTIAL FUNCTIONS: The following list was developed through a job analysis; however, it is not exhaustive and other duties may be required and assigned.     ESSENTIAL FUNCTION: Office Support. Employee performs clerical duties to assist the Institutional Effectiveness office in its efficient operation.


    • Greets faculty, staff, guest, and other visitors both on campus and over the telephone answering questions and providing directions to campus offices and buildings.
    • Maintains the Director of Institutional Effectiveness calendar of meetings, appointments, and other daily events.
    • Performs routine clerical functions – Filing, scanning, recording, and disposal of documents.
    • Retrieves, opens, and routes or handles as appropriate internal and external mail for the Director of Institutional Effectiveness.
    • Prepares and distributes various types of correspondence for the Director of Institutional Effectiveness.
    • Attend meetings for the purpose of taking and transcribing minutes for the Director of Institutional Effectiveness.
    • Processes all justification for travel, travel requests, and supporting documentation, preparing them for advance payments; coordinates registrations and, upon completion of travel, processes all travel reimbursement requests for the Director of Institutional Effectiveness.
    • Prepare a variety of documents and reports related to Institutional Effectiveness and SACSCOC.
    • Serves on College committees and performs related services as required.
    • Type’s memos, letters, emails, and other correspondence as required.
    • Establishes and maintains filing system to include those related to accrediting agency reporting.
    • Prepares requisitions and purchase orders for supplies.
    • Arranges administrative services (as needed) meetings by locating appropriate space, notifying participants of the date, time, and location, and notifying participants of changes and/or cancellations.
    • Abides by rules of confidentiality.

    ESSENTIAL FUNCTION: Institutional Effectiveness. The employee performs database management duties related to planning and evaluation of College functions and units.
    • Builds internal surveys within the departmental software.
    • Assists with College Standing Committees annual paperwork.
    • Implements, coordinates, and develops annual planning calendar.
    • Coordinates and creates college surveys and evaluations; distributes surveys and evaluations to students, faculty and staff; collects evaluates and disseminates evaluation results to appropriate personnel for review in continuing College improvements.
    • Organizes data within the planning software to ensure readability; filters data to capture relevant statistics.
    • Assists in resolving issues with input of data; answers questions from College personnel.
    • Assists in the maintenance of the institutional calendar.
    • Keeps reporting units on strict deadlines to ensure timely completion of reports.
    • Responds to requests for college data and disseminates periodic reports.
    • Assists with College Standing Committees annual paperwork.
    • Assists in maintaining Institutional Effectiveness webpage on the college website; ensures all data is up to date.
    • Performs other duties as assigned.

    Qualifications

    • Possess an associate's degree from an accredited institution is required.
    • Proficient in Microsoft Office (Word, Excel, PowerPoint) is required.
    • Ability to work non-standard and extended hours is required.
    • Experience working in a college and/or research environment is preferred.
    • Experience with Banner/Argos is preferred.

    ADVISORY COMMITTEE: The President will appoint an Advisory and Interview Committee to include representatives of the College faculty and staff. This committee will employ appropriate procedures, including the review of application packets, interview, and demonstration of competency, to determine which applicants are to be recommended to the President for further consideration. From all the applications received, an advisory committee will select the applicants to be interviewed.

    Sick Leave
    All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year.     The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions.
