Community Relations Assistant

JOB SUMMARY
Support the Community Relations Department and the entire Administrative team as the first point of contact for all phone calls (5000 line) and individuals who arrive at the Administration Building. The positions will function as the administrative assistant to the Portage Education Foundation for their scholarships. The position will also support the Community Relation Manager in connecting with and supporting various internal and external constituents and will provide administrative support for summer camps and PEF step camps.
Essential Duties and Responsibilities:
- Manage security at the front building entrance and greet all guests with a high level of customer service.
- Answers the main phone number for the district (5000 line) and direct calls to the appropriate department/building.
- Field calls from school personnel, parents, community members, and the media and direct to the appropriate person/department.
- Answer basic enrollment questions, and receive and process enrollment supporting documents for walk-in customers.
- Assist walk-in customers with computer kiosk needs: enrollment, transfer applications, and releases, Food Assistance benefit applications, and employment applications.
- Complete the district section of student work permits and maintain the permits during the school year.
- Accept deliveries from Amazon, FedEx, UPS, and USPS and distribute as appropriate.
- Receive bids for bid openings. Label with date/time/initials and deliver to the Purchasing Specialist.
- Distribute Portage Public School passes – athletic season passes and car window parking stickers for staff, and Gold Cards for community members who qualify.
- Maintain graduate transcripts and school records for the district. Sort CA-60 files once received from the high schools after 1-year post graduation and scan the required documents to save as the alumni files.
- Process transcript and graduation verification requests received through Parchment.
- Assists Community Relations Manager with crisis communication, as needed.
- Maintain and process purchase orders and credit card statements for the Community Relations Department.
- Order office supplies for the Community Relations Department.
- Become a Notary Public and provide notary services for affidavits.
- Coordinate business card ordering for the district.
- Maintain the district online clothing/accessory store, and create a new store if needed.
- Provide calendar support for the Community Relation Manager.
- Serves as the primary responder/distributor to emails received in the COMMS joint email box.
- Assist with projects for other departments such as scanning and database updates as needed.
- Performs other duties as assigned.
- Regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook.
Portage Education Foundation (PEF)
Work with the Community Relations Manager to provide administrative support to the Portage Education Foundation for the PEF scholarships, including collecting/organizing the scholarship applications and supporting documentation, and sharing the completed folders with the scholarship deciders. Responsible for sharing winners timely with each high school for their awards ceremonies. Provide a congratulations letter and transmittal form via email to each scholarship winner; collect completed transmittal forms and forward to the PEF for distribution of funds.
Summer Camps
Work with the Community Relations Manager and Coordinator to promote and execute the PPS summer camps and the PEF step camps, including help with registration and offerings.
Hours 8:00 AM to 4:00 PM Monday through Friday, or as previously arranged with the Community Relations Manager.
Minimum Qualifications:
- High School diploma, GED, or equivalent.
- Minimum two years’ experience providing front line customer service.
- Excellent customer service and a willingness to search out answers and information for constituents.
- Ability to multi-task in a fast-paced environment.
- Highly skilled with standard office procedures such as office machines, software and basic database management.
- Mathematical skills including: addition, subtraction, multiplication, and division.
- Correct English usage, spelling, grammar and punctuation.
- Excellent verbal and written communication skills.
- Critical thinking skills and creative problem-solving ability.
- Ability to maintain a high level of confidentiality.
- Ability to project a favorable and welcoming first impression of the district.
- Notary or willing to obtain notary credential.
