    Role Summary:
    We are seeking a detail-oriented Administrative Assistant to support our compliance department by efficiently collecting and documenting crucial contact and procedural information from various municipal building departments. The role involves meticulous online research, direct communication with building departments, and systematic documentation.

    Responsibilities:

    • Contact Information Collection:
    • Conduct online searches to locate contact details of the Chief Building Official and other relevant departments within municipal building organizations.
    • Record the email addresses and phone numbers for the Chief Building Official and, if applicable, the private provider department contact.
    • Private Provider Registration Requirements:
    • Engage with building departments via phone to understand the registration process for private providers, discussing forms, submission preferences, and registration frequency.
    • Verify specific requirements for submitting notices, affidavits, inspection logs, and Certificate of Occupancy requests, including the preferred format and submission method (portal, email, text).
    • Documentation and Reporting:
    • Ensure accurate and organized documentation of all gathered information in our database system.

    Skills and Qualifications:

    • Proficiency in internet research and navigating various digital platforms.
    • Excellent communication skills for effective interaction with external departments.
    • Strong organizational skills with a keen attention to detail.
    • Familiarity with database management and document handling.

    Education:

    • High school diploma required; further education or certification in administrative support is a plus.
    • Highly Preferred: Worked for a Private Provider in the past, or as a permitting technician.
    • Minimum Preference: Has experience in a construction office or grew up in the construction industry.
