Position Title: Installed Claims and Returns Coordinator

Department: Supply Chain

Reports To: Purchasing Manager

Position Type: Regular full-time
 

General Summary

The Installed Claims and Returns Coordinator is responsible for administering the returns process and coordinating the replacement or settlement for installed claims. This includes initiating return authorizations, investigating the reason for claims and working with cross-functional groups to ensure both are processed accurately.

Essential Job Functions

• Strong understanding of RMA/returns process
• Tracking supplier credits
• Assessing material return guidelines/ process improvement
• Monitor aging claims and negotiate settlements
• Interface with suppliers, expeditors, multiple locations

• Communicate with branches and departments providing timely guidance and feedback
• Continuous follow-up with companywide branches and departments as well as vendors outside the company to obtain credits due
• Attend meetings with vendors providing feedback on open and aging claims

Knowledge, Skills, and Abilities

• Must possess a good working knowledge in MS Excel, Word, and Outlook
• Oracle JD Edwards familiarity a plus
• Excellent attention to detail
• Ability to prioritize/handle multiple projects
• Requires above average organizational and prior data entry skills/experience.

• Strong analytical and problem-solving skills, with demonstrated ability to provide creative solutions to real-time challenges

• Ability to multi-task
• Strong negotiating skills

• Strong verbal and written communication skills
• Ability to thrive in a fast paced environment

Education and Experience

• Knowledge of proper business etiquette
• Experience in order writing and quotes is a must
• Bachelor’s degree preferred in related field
• 2-3 years of practical inventory and/or purchasing experience a plus

Other Requirements

• The employee frequently is required to stand, walk, sit, and use hands to operate a computer keyboard
• The employee is occasionally required to reach with hands and arms
• The employee must occasionally lift and/or move up to 10 pounds
• This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary
• Travel required: negligible
