    POSITION SUMMARY

    The Director of Conferences and Events is responsible for the day-to-day operations and year-round
    logistical coordination of conference and external events. The individual is responsible for directing the
    rental of facilities, coordinating, and scheduling the logistics for both external and internal conference,
    workshops, and events.



    DUTIES AND RESPONSIBILITIES

    • Develops plans and coordinates large-scale, high-profile events.
    • Works with campus community and external clients to schedule all conference needs into the

    appropriate campus meeting spaces based on date and type of program, projected number of
    attendees, dining service needs, and other requirements such as meeting and group spaces .

    • Maintains scheduling calendars and works with scheduling coordinator to communicate
    schedule/facility changes to appropriate parties.
    • Coverage of external events and conferences on evenings and weekends when necessary.
    • Coordinates all aspects of events and serves as main point of contact for internal and external
    clients.
    • Communicates and resolves problems effectively and in a timely manner with event organizers .
    • Fosters and maintains contacts with a wide array of vendors to ensure consistent delivery of
    needed goods and services for conference and event programs.
    • Reviews contracts with the Director of Performance Venues & Operations to ensure insurance

    requirements and compliance with policies are met. When applicable, also review with
    Mercyhurst counsel.

    • Obtains detailed information from client on event type and event requirements to ensure
    success of event.
    • Works closely with the Facilities staff to ensure appearance and cleanliness of the space is
    appropriate to the client.
    • Serves as a liaison between the conference staff and the service/support departments to
    ensure s uc cess of the conf e rence.
    • Ensures that all events and camps comply with all government regulations and college policies
    and procedures.
    • Performs other duties as assigned.


    EDUCATION AND EXPERIENCE

    • Bachelor’s degree required.
    • Three years of related experience in marketing, sales or event management OR significant

    management or sales experience in conference and event management or hotel and resort
    management.



    SKILLS AND ABILITIES

    • Proven customer service interpersonal/human relations skills.
    • Verbal and writen c ommunication s kills.
    • Supervisory skills.
    • Ability to organize time, projects, and details.
    • Ability to relate effectively with institutional personnel and the public .
    • Must be available to work evenings and weekends.
    • Proficiency in Microsoft Office, Access, Word, and Excel.
    • Possess knowledge of basic meeting and conference planning procedures.
