Contact Center Scheduler is responsible for monitoring the contact center workload and scheduling function. Assists in analyzing contact center patterns, including volumes, trends, attrition rates, and contact center representative productivities. Assists in maintaining and adjusting staffing schedule assignments to maintain contact center key performance indicators. Additionally, Contact Center Scheduler may require a bachelor's degree. Typically reports to a manager. The Contact Center Scheduler work is closely managed. Works on projects/matters of limited complexity in a support role.     SUMMARY:

    The scheduler is responsible for scheduling and maintaining schedules for all medical and dental office visits. The scheduler will also coordinate provider schedules with the Clinical Supervisor.

    DUTIES AND RESPONSIBILITIES:

    • Schedules medical, dental and behavioral health patient appointments as assigned. Gives a clinical summary to all Medical and BH patients at exit scheduling.
    • Assists in registering patients when needed.
    • Coordinates daily provider schedules with Clinical Coordinator.
    • Verifies all patient information including personal and financial and assigns eligibility level
    • Accurately enters required patient information into the computer.
    • Assists patients with completing information forms, as needed.
    • Accurately documents in patient medical/dental records.
    • Operates standard office machines and equipment.
    • Cross-trains in other areas of office procedures.
    • Makes confirmation calls to patients for appointments. Reminds patient of any information that they need to bring with them to their appointment (Co-pay, current medications, etc.). Check bump list for any appointments that may need to be rescheduled.
    • Participates in and serves on committees as assigned.
    • Travels when necessary to meet operational needs.
    • Performs miscellaneous job-related duties as assigned.

    MINIMUM JOB REQUIREMENTS:

    1. High school diploma or GED certificate, required.

    2. Associate Degree in Medical/Dental Office Management or Medical Assisting, preferred.

    3. Experience may be substituted for Degree.

    4. Must have BLS within 90 days of employment

    5. Must have vehicle insurance

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    • Ability to attend to multiple tasks at the same time. Ability to prioritize assignments and responsibilities to ensure compliance with established deadlines and protocols.
    • Effective oral and written communication skills.
    • Ability to work with persons from a wide diversity of social, ethnic and economic backgrounds is necessary.
    • Mid- level / advanced computer skills
    • The ability to distinguish letters and symbols as well as the ability to utilize telephones, computer terminals, fax machines, and copiers is required.

    WORKING CONDITIONS AND PHYSICAL EFFORT:

    Prolonged sitting or standing may be required. Those physical movements and the degree of mobility, manual dexterity and hand-eye coordination normally associated with receptionist duties in a clinic office setting will be performed on a repetitive basis. This also includes bending, twisting, reaching, lifting, pulling, pushing, and walking. Moderate physical activity which requires handling of average-weight objects up to 25 pounds or standing and/or walking for more than four (4) hours per day. Working under stressful conditions as well as irregular hours may be required.
