    Special Note
    This is a full-time, overtime eligible position in Academic and Career Advising on the Olympia campus of The Evergreen State College. This position is an “at-will” appointment, exempt from Washington State Civil Service rules.

    Position Purpose
    The purpose of this position is to coordinate and implement the Professional and Continuing Education (PaCE) intentional academic and career advising strategies for diverse part-time adult learners looking to complete their degree or gain an academic or professional certificate. This position serves as a point person for the PaCE student population from onboarding through graduation, including supporting new student admission, financial aid access, academic and career advising, registration, etc.

    The position works with the PaCE recruitment team to advise prospective students with questions about the curriculum and to align recruitment communications, i.e., campaigns, promotional materials, and events.
    The position also shares adult learner expertise with others who advise a similar population. For example, the position provides leadership and expertise to PaCE faculty and Academic and Career Advising staff on all aspects of adult learner advising to achieve increased retention and persistence of a diverse adult student population. This position also serves as a member of a cross-divisional team to strengthen services for adult learner students.

    Nature and Scope
    The position reports to the Director of Academic and Career Advising and plays a central role in implementing and maintaining institutional knowledge and a framework of academic and career advising for students in the school of Professional and Continuing Education. This incumbent works in close collaboration with the Dean for PaCE and others on the PaCE team as the principal for academic and career advising strategies for PaCE that includes programming relevant to certificate offerings, Prior Learning from Experience, degree completion paths, and related undergraduate curricular options.

    In the lead role of advising PaCE students, this position is part of the Academic and Career Advising team and regularly collaborates with other staff and faculty units on both the Olympia and Tacoma campuses. This position also represent advising perspectives in planning for new-curriculum development.

    Essential Functions
    Retention strategy development and advising
    • Provide academic and career advice to students and alumni by appointment, drop-in, telephone, email, and in group/workshop settings, including general advising on the PaCE curriculum and how it relates to career or graduate school pathways, job search preparation, and related resources.
    • Provide leadership and collaborate with faculty, staff, and current students to develop and sustain academic and career advising programs for adult learners, specifically those taking part-time, online, and non-credit certificate program offerings.
    • Provide innovative advising to students enrolled in coursework in-person and/or online.
    • Initiate, track, and follow up with students and alumni, e.g., contact and respond via email, letters, Teams, Zoom, telephone, and social media for Professional and Continuing Education, including Certificates, Prior Learning from Experience, and Undergraduate Areas of Emphasis.
    • Act as a primary source of policy and procedure information for the Prior Learning from Experience program and participate in assessment and revision of that program as it evolves.
    • Develop and maintain comprehensive and current understanding of all academic offerings.
    • Perform comprehensive academic needs assessment of PaCE participants to develop and implement individualized academic plans to meet students’ needs.
    • Maintain regular evening office hours within the PaCE space to meet students’ schedules.
    • Provide one-on-one appointments to explore job-hunting strategies, interview techniques, and assistance with resume writing.
    • Provide personality, interest, skill assessment, and computer-based inventories geared toward adult learner students.
    • Maintain a database and communicate with students who have withdrawn or taken leave of absence to seek their return to the College while working with them to resolve issues impacting their registration.


    Collaboration with campus partners
    • In coordination with Academic and Career Advising, the PaCE team, and other relevant campus partners, develop and implement holistic and focused academic and career advising strategies for diverse adult learners from admission to graduation and beyond and ensure PaCE students are connected to appropriate internal and external resources.
    • Market experiential learning through outreach programming and promote the accessibility of experiential learning and employment opportunities postings and experiential learning job-search strategies.
    • Develop and maintain relationships with Evergreen faculty to better understand their areas of expertise, resource knowledge, and related strengths.

    Program evaluation and assessment
    • Track students’ successes and milestones and prepare reports as requested.
    • In collaboration with the Office of Institutional Research, assist in regular program evaluations, including the managing and tracking of data, production of annual reports, and regular self-studies.
    • Create and track an effective and efficient proactive advising process for new students.
    • Participate in strategic planning focused on adult learners and returning students.
    • Maintain comprehensive knowledge of student employment, internship trends, policies, and compliance procedures by staying current with state, federal, and institutional policies.
    • Assist in creating and achieving retention goals and objectives for PaCE students based on trend data and historical reporting.

    Training and events
    • Support training and serve as a resource to other campus professionals, including faculty, by providing guidance and support to enhance holistic academic and career advising of adult learners.
    • Coordinate designated projects, events, or programs that support academic and career advising.
    • Plan, implement, and maintain guidance support activities and advising workshops for adult students.
    • Support the recruitment of new PaCE students by participating in open houses and other admission events.
    • Promote student involvement in internship and employment opportunities that will supplement the learning experiences in the classroom while also developing and facilitating workshops and trainings related to student employment.

    Additional Duties
    • Represent PaCE and the College at professional conferences and meetings in support of enhancing college programs and services, attaining unit and college goals, and promoting the visibility and reputation of the College; organizations might include National Association of Student Personnel Administrators, American College Personnel Association), National Academic Advising Association, National Association of Colleges and Employers, and National Career Development Association.
    • Other duties as assigned.

    • Familiarity supporting students in professional positions who are coordinating with employers (such as state agencies or tribal enterprises) to advance their careers, including familiarity with internships, WorkSource, Prior Learning from Experience, etc.
    • Knowledge and understanding of the economic, social, and cultural context that influence access to higher education for returning adult students.
    • Knowledge of tuition waivers, WorkSource funding, employment vouchers, and other external funding sources.
    • Understanding of career development theory.
    • Initiative in problem solving and ability to organize and perform multiple tasks within expected timelines with periodic competing deadlines.
    • Reliable, timely follow-through and the ability to work independently.
    • Ability to maintain composure and respond to difficult situations with a respectful and professional demeanor and serve as a leader in the facilitation of positive resolution in such situations.
    • Ability to exercise good judgment and make sound decisions in complex situations.
    • Ability to research, plan, and manage projects and events.
    • Ability to analyze and use data for planning, including conducting and interpreting assessments of students.
    • Ability to present to small and large groups of people.
    • Ability to interpret technical and/or complex policies for general audiences.
    • Proficient in the use of computer software, including Microsoft 365, Adobe, web content management, and databases for communication, scheduling, and reporting.
    • Knowledge of the job search process, job market trends, occupational information sources, as well as that of graduate and professional school inquiries.
    • Excellent written and interpersonal communication skills to include active listening, excellent group presentation, respect for confidentiality of student advising sessions, and effective representation of the office and College to external groups.
    • Ability to handle multiple tasks requiring a high degree of accuracy and attention to detail in a busy service office with high student traffic.
    • Ability to travel between the Olympia and Tacoma campuses, regularly work evenings, and occasionally work weekends.

    Minimum Qualifications
    • Master’s degree in education, Counseling, Student Personnel Administration, or another related field.
    • Three years of professional work experience in higher education student services, i.e., adult education, multi-cultural student recruitment, academic advising, and/or career services.
    • Professional experience working effectively with diverse communities.

    Desired Qualifications
    • Experience advising students enrolled in online and/or professional education coursework.
    • Experience working with non-traditional age students.

    Conditions of Employment
    • Must provide proof of identity and employment eligibility within three days of beginning work.
