    Job Overview:
    In this role, the Field Service Administrator provides effective and responsive services to support business leaders in day-to-day business operations and activities. This is a revenue generating position and invoicing is priority. This position reports to the Field Service Administration Supervisor.

    Essential Duties and Responsibilities:
    • Proactively support, take direction from and balance the needs of multiple staff members and independently handle all assigned duties.
    • Review purchase orders from customers to confirm that the terms are acceptable and address any discrepancies.
    • Open orders in SAP and maintain a master file of all open orders.
    • Load and reconcile all costs for a service order (material, labor, expenses, etc.)
    • Analyze job costs and confirm accuracy and totality.
    • Generate purchase orders and assist accounts payable and vendors from the issuance of the PO to the payment of all monies due.
    • Generate job cost/revenue analysis for management review per contract specifications, using a variety of rate sheets and invoicing schedules. (Fixed bid, time and material, milestone billing)
    • Generate invoices and ensure that the invoices are submitted for payment per the requirements on the purchase order.
    • Utilize client portals for invoice submission.
    • Hold meetings with the team to accurately forecast revenue and communicate the results and any changes to the management team.
    • Assist with collection or resolution of past due invoices.
    • Keep excellent documentation for all jobs and be able to provide support as needed for outside audit requirements, which may include research and reconcilement.
    • Generate Credit and Debit memos.
    • Manage a high volume of work under time constraints while maintaining accuracy.
    • Follow all company safety policies and complete all required safety training in a timely manner.
    • Other duties as assigned.
    Required Skills and Experience
    • High school diploma/GED equivalent required; further education is a plus.
    • Associate or bachelor’s degree from an accredited university or college preferred.
    • Minimum of 3-5 years of experience in Accounting/Billing/Invoicing and Service/Operations Support.
    • Knowledge of general office management and current computer/office communication Technologies.
    • Intermediate Excel (Pivot Tables, SumIfs, VLookup), Word, and Outlook.
    • SAP experience preferred.
    • Field Service Dynamics experience is a plus.
    • Strong interpersonal, written, and oral communication skills.
    • Effective time management, multi-tasking and organizational skills
    • Overall good work ethic and willingness to adapt to change.
    • Ability to work independently.
    • Strong problem-solving skills
