Contracts Administration Clerk prepares, maintains, and administers contract documents according to policies and regulations.     The Contracts Administrator Coordinator plays a pivotal role in actively participating and supporting the development, analysis, preparation and administration of contracts, agreements, vendor forms, portal registrations, and various other duties as outlined below. This position is responsible for supporting the entire lifecycle of contracts and agreements, supporting compliance efforts, maintaining accurate records, and fostering positive relationships with internal and external stakeholders.

    Essential Duties and Responsibilities

    • Complete vendor forms & portal registrations such as prequalification packets, annual reps & certs, and forms related to Safety & Quality
    • Coordinate customer analysis in preparation for agreement negotiations
    • Play an essential role in the initiative between the Contracts and Enterprise teams as agreement pricing is moved into SAP—development, testing, launching, and subsequent maintenance of the data
    • Assist with RFx document review, and preparation of submission documents for key customers
    • Assist with development of pricing/discount evaluations as related to contract management
    • Support agreement renewal initiatives
    • Aid in contract administration and customer contact activities that support contract acquisition, maintenance, renewals, research and fulfillment in accordance with company policies, legal requirements, and customer specifications
    • Maintain contract data & documents in the CRM
    • Provide support with data collection & analysis for key customer reporting
    • Assist with customer requested COIs and act as a liaison between the insurance broker and HYTORC internal departments and/or customers
    • Maintain the Agreement Subsidiary, Affiliate & Location lists
    • Work closely with various departments, vendors, clients, legal, & sales teams globally
    • Cross train on some Corporate Contracts & Legal Assistant responsibilities for support during peak times and PTO
    • Provide additional support to the Contracts Manager


    Education/Experience Required

    • BS/BA degree is preferred.
    • Highly detail oriented & able to juggle multiple tasks
    • Very strong follow-through and follow-up skills
    • Analytical skills
    • Awareness & focus on bringing tasks to resolution
    • Self-organized & ability to work independently
    • Strong communication skills

    Computer Skills Necessary

    Microsoft Office Suite including Excel, PowerPoint, Word, and Outlook. SAP experience preferred.
