Contracts Administration Director is responsible for all activities in the organization's contracts administration function. Oversees the preparation of proposals, negotiations, and the administration of contracts that follow company policies and legal requirements. Being a Contracts Administration Director directs and develops policies and processes that govern the contract administration staff and provide guidance on contract terms and the assessment of contract proposals. Has deep knowledge of the contract life cycle, types of contracts, and applicable government regulations. Additionally, Contracts Administration Director leads negotiations for complex or high-value contracts. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to senior management. The Contracts Administration Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Contracts Administration Director typically requires 3+ years of managerial experience.     Responsibilities
    • Work with clients and attorneys to complete the estate administration process, including probating estates, preparing legal documents for attorney review, gathering the decedent’s asset information, preparing the Pennsylvania inheritance tax return, and communicating with the Department of Public Welfare, all following the firm’s procedures.
    • Organize, maintain, and search for hard copy and electronic files as requested by attorneys or other staff.
    • Perform general operational tasks including but not limited to answering the phone and forwarding messages, copying, scanning, mailings, and postage, assisting drop-in clients, filing paperwork, handling voice mail messages, etc., all according to firm policies and procedures.
    • Prepare and proofread correspondence.
    • Preparing invoices accurately.
    • Maintaining confidentiality of all client and personnel matters pursuant to the firm’s confidentiality policy.

    Qualifications

    • At least 1 year experience in an administrative or other related position.
    • High school diploma or GED required.
    • Navigate computer programs with ease.
    • Display excellent written, problem-solving, and verbal communication skills.
    • History of being deadline-driven and extremely organized.
