Contracts Administration Director is responsible for all activities in the organization's contracts administration function. Oversees the preparation of proposals, negotiations, and the administration of contracts that follow company policies and legal requirements. Being a Contracts Administration Director directs and develops policies and processes that govern the contract administration staff and provide guidance on contract terms and the assessment of contract proposals. Has deep knowledge of the contract life cycle, types of contracts, and applicable government regulations. Additionally, Contracts Administration Director leads negotiations for complex or high-value contracts. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to senior management. The Contracts Administration Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Summary:
We are seeking a highly skilled contracts administrator to look at the contract lifecycle from a holistic perspective and complete related steps to include, but not limited to, invoicing, customer setup, licensing, job folder creation, RFP (request for proposal) packets, and administrative support of the project lifecycle.
Key Responsibilities:
Customer setup (receipt of opportunity, customer portal administration, internal system setup)
Receipt of purchase orders
Invoicing
Quote generation
Other administrative duties as assigned (travel booking, licensing, etc.)
Minimum Qualifications:
Strong knowledge of business requirements involved with contracts
Strong understanding of the contract life cycle
Ability to read, analyze, and interpret procedures and regulations required
Ability to respond clearly and concisely to questions from internal and external stakeholders
Business acumen and understanding of financial concepts
Excellent communication and interpersonal skills.
Ability to work effectively in a fast-paced, deadline-driven environment.
Required Education and Experience:
High School Diploma required, associate degree or higher in business administration preferred
Minimum 3 years of experience within the telecom/construction industry
Knowledge of business licensing, certifications a plus
Supervisory Requirements:
None required for this position.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional after-hours work may be required to meet deadlines or manage crisis situations
Physical Demands:
Employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms
This role routinely uses standard office equipment such as computers, phones, photocopier, filing cabinets and fax machines
Occasionally required to lift or move up to 25 pounds and frequently lift or move up to 10 pounds
Must be able to pass pre-employment screening that includes background and drug/alcohol testing and participate in random testing program
Position requires working indoors in a professional office atmosphere
Must possess valid driver’s license
Travel:
10% expected for this position.
