Contracts Administration Director is responsible for all activities in the organization's contracts administration function. Oversees the preparation of proposals, negotiations, and the administration of contracts that follow company policies and legal requirements. Being a Contracts Administration Director directs and develops policies and processes that govern the contract administration staff and provide guidance on contract terms and the assessment of contract proposals. Has deep knowledge of the contract life cycle, types of contracts, and applicable government regulations. Additionally, Contracts Administration Director leads negotiations for complex or high-value contracts. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to senior management. The Contracts Administration Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Contracts Administration Director typically requires 3+ years of managerial experience.     For this role, we will consider candidates located near our Norwalk, CT office and must be able to work 5 days per work week in office.


    Position Overview:

    This position is primarily responsible for the preparation, review and execution of documents, and the day-to-day oversight for all phases of the documentation process for Mitsubishi HC Capital America, Inc. (MHCA)’s Transportation Finance Division in accordance with MHCA’s policies and procedures. Provide effective customer service for both internal and external customers by utilizing expertise in finance documentation and strong working knowledge of vehicle and equipment financing structures.

    The incumbent must understand, abide, and uphold the system of internal controls related to the essential duties and responsibilities of the position.

     

    Primary responsibilities for this position include, but are not limited to:

    • Prepare documents for MHCA’s Transportation Finance Division in accordance with MHCA’s policies and procedures in a timely and accurate manner
    • Perform pre-funding reviews/audits of all documentation packages submitted by dealers, brokers, and MHCA’s marketing staff to satisfy credit approval requirements 
    • Work closely with dealers, brokers, and MHCA’s marketing staff to correct documentation deficiencies 
    • Pre-book and book transactions in InfoLease to ensure accurate accounting, invoicing, and portfolio monitoring
    • Monitor the document safekeeping process as well as day-to-day tracking of documentation by scanning all executed documents into OnBase
    • Ensure timely electronic filing of Uniform Commercial Code financing statements to perfect MHCA’s security interest 
    • Follow up on the Docs Incomplete/CRL Incomplete queues to ensure prompt resolution
    • Occasionally, contact insurance agents to obtain correct Certificates of Insurance per MHCA’s requirements 
    • Assist Senior Contract Administrators in processing Transfer and Assumptions, Residual Refinances as loans and leases, Customer Assistance Program, and other Amendments (VIN, Name, Payment Due Dates)
    • Ensure documentation is in strict compliance with all state and federal mandates and coordinate with legal counsel regarding documentation issues
    • And all other duties as assigned.

    Education and Experience:

    • BS/BA degree in Business or Finance, or demonstrated capability in similar capacity in equivalent experience
    • Five plus years related experience with Contract Administration of financial instruments (emphasis on equipment leasing a plus) and knowledge of governing laws within the United States

     

    Licensing and Certification:

    • May be required for specific job assignments

    Working Hours:

    • Hours may vary and require evening work depending on business needs and require working overtime

     

    Travel:

    • Occasional travel related to attendance at industry seminars or other offices of the company 

     

    Physical Demands:

    • Digital dexterity and hand/eye coordination in operation of office equipment
    • Light lifting and carrying of supplies, files, etc.
    • Ability to speak to and hear customers and/or other employees via phone or in person
    • Body motor skills sufficient to enable incumbent to move from one office location to another

    Salary Range: ($61,000.00 - $77,700.00) per year, plus a discretionary Bonus.

    The salary range is determined and based on internal equity, market data/ranges, applicant's skills, prior relevant experience, and education.
