Tazewell County, Illinois is seeking an experienced, highly motivated and collaborative individual to serve as an Office Manager for Court Administration.
This position provides administrative assistance to the Presiding Judge, Chief Judge and Trial Court Administrator by performing administrative functions of a highly responsible and confidential nature. The position is both administrative and managerial in nature, which includes but is not limited to coordination and integration of six courtrooms, resource management, technology management, financial management, and recorder keeping. Prepares reports on judicial programs, services, and grants. Ensures all judicial functions of the courts operate efficiently. This is a full-time exempt position with a salary range of $45,572.00 to $47,000.000 annually.
Responsibilities
· Maintain, administer, and monitor use of the law library by assisting the part-time law librarian.
· Oversee the annual budget (approximately $250,000) which includes monitoring expenses and revenues. Prepares the budget in collaboration with the direct reports.
· Manage all court administration invoices by receiving, verifying accuracy, determining appropriate expense account, and submitting payment(s).
· Schedule interpreters for court hearings. Submit reimbursement vouchers to AOIC for certified and registered interpreters. Complete and file required interpreter reports for AOIC.
· Complete Tazewell County’s annual Emergency Preparedness Plan and Language Access Plan.
· Assist the Circuit Clerk’s Office with coordinating courthouse weddings and judicial ceremonies.
· Manage commodities, equipment, and supplies by ordering, distributing, and maintaining an inventory of necessary office supplies for judges, supervisors, court reporters, court clerks, and personnel.
· Determine the best quote for purchase of various materials, supplies, equipment, etc. and secure their procurement within Tazewell County guidelines. Utilizes discounted purchase plans whenever possible for Courts.
· Maintain, monitor, and update Tazewell County’s court webpage.
· Assist judges with scheduling coverage for their docket when they are absent.
· Prepare, type, proof-read, duplicate, distribute, and file correspondence for the 10th Circuit, including confidential material.
· Answer telephones; direct callers to the appropriate person or department; and take messages.
· Answer questions, resolve problems, and inquire effectively for the public and county personnel.
· Review statistics of judicial programs and services as needed. Prepare reports summarizing data as needed.
· Communicate with judges, court personnel, and other departments to resolve problems in the operation of six (6) court dockets.
· Work with judges, county departments, the Court Administrator, and outside vendors to ensure courtroom technology is operating efficiently.
· Assist the Court Administrator and CFO of Courts with preparing state grant requests including, but not limited to – annual budgets, monthly budget reports, revised budget extensions, and budget narratives.
· Receive and process all revenue. Deposit revenue with the Treasurer within the appropriate line item and document the deposit for auditing purposes.
· Maintain the department’s records and ensure compliance with all record retention policies. Determine when records can be destroyed and prepare the necessary requests for disposal.
· Serve as the disability coordinator for the courts.
· Direct the public to the appropriate person, department, or agency to answer questions or resolve problems.
· Continually update the Administrative Assistant – Courts Manual.
· Greet the public and professionals from other departments and agencies as they arrive at Court Administration. Answer questions from individuals over the telephone, at the counter or via email. Provide information about where self-represented litigants (SRLs) may receive additional resources and assistance.
· Perform essential clerical duties such as composing correspondence, copying, faxing, filing, updating, or creating word, excel, PDF documents; deliver outgoing mail, receive incoming mail, and distribute to court personnel.
· Enter purchase requisitions and adhere to Tazewell County’s purchasing policies.
· Prepare meeting rooms, receptions, and organizes special events.
· Screen calls from individuals requesting to talk to the judges.
· Maintain copy machines and request service as necessary.
· Maintain conference room bookings and audio/visual equipment requests.
· Assist with special projects.
· Perform other assigned tasks as required.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Management, Finance or equivalent with a minimum of five (5) years’ experience in administration or management OR a combination of equivalent education and experience deemed acceptable
- Previous bookkeeping/accounting and budget preparation experience preferred
- Working knowledge of county government and the judicial branch preferred
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat
