Contracts Administration Manager prepares and administers bids, proposals, and commercial and government contracts that follow company policies and legal requirements. Manages the contracts administration staff and guides compliance with complex contractual and regulatory requirements. Being a Contracts Administration Manager negotiates with suppliers, partners, or customers. Ensures contracts are administered and monitored to maintain compliance with the terms of agreements. Additionally, Contracts Administration Manager has a strong understanding of the contract life cycle, types of contracts, and applicable government regulations. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to a director. The Contracts Administration Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager.     Looking for a self-motivated and personable transaction coordinator/contracts manager for our successful residential real estate brokerage.

    As a Real Estate Transaction Coordinator/Contracts Manager, you will play a crucial role in facilitating and managing the various steps involved in real estate transactions. This position requires exceptional organizational skills, attention to detail, and effective communication to ensure a smooth and timely closing process. You will be responsible for coordinating activities between real estate agents, clients, lenders, and other parties involved in transactions to meet deadlines and maintain a high level of customer satisfaction.

    Key Responsibilities:

    • Transaction Management:
    • Oversee the entire real estate transaction process from contract to closing, ensuring compliance with all relevant laws and regulations. Help get appropriate signatures, open escrow, order and coordinate inspections, the point person with clients and the agents on escrows etc.
    • Coordinate and manage communication between buyers, sellers, real estate agents, lenders, and other stakeholders involved in the transaction.
    • Document Management:
    • Collect, review, and organize all necessary documents for real estate transactions, including purchase agreements, disclosures, and addendums.
    • Ensure the accuracy and completeness of all documentation required for a successful closing. Timeline and Deadline Management:
    • Create and maintain transaction timelines, ensuring that all tasks are completed within established deadlines.
    • Keep all parties informed of critical dates and deadlines throughout the transaction process.
    • Communication and Customer Service:
    • Act as a central point of contact for all parties involved in the transaction, providing regular updates and addressing inquiries.
    • Deliver excellent customer service to clients by keeping them informed and addressing concerns in a professional and timely manner.
    • Problem Resolution:
    • Identify and address any issues or challenges that may arise during the transaction process.
    • Collaborate with relevant parties to find effective solutions and ensure the transaction stays on track.
    • Compliance and Quality Assurance:
    • Ensure all aspects of the transaction comply with local, state, and federal regulations.
    • Conduct quality checks on all documentation to minimize errors and discrepancies.
    • Post-Closing Activities:
    • Assist in post-closing activities, including the submission of necessary paperwork and documentation to complete the transaction.

    It is highly desirable for the applicant to have a real estate license, and have experience with CA real estate contracts, residential real estate sales, and/or escrow experience. Applicant must be proficient in Windows, Word, Excel, or Google equivalent & Adobe etc. Very important for the applicant to be a quick learner, highly teachable, and perform well in stressful situations while maintaining a great attitude. Excellent organizational, time management, and multitasking abilities. Strong communication and interpersonal skills.

    Qualifications:

    • High school diploma or equivalent; additional education or certification in real estate is a plus.
    • Proven experience as a real estate transaction coordinator or in a similar administrative role within the real estate industry.
    • Familiarity with real estate transactions, contracts, and related documents.
    • Excellent organizational, time management, and multitasking abilities.
    • Strong communication and interpersonal skills.
    • Proficient in using real estate software and tools.
