    Position Summary
    The Administrative Assistant at the Lake County Sheriff's Office is a pivotal role responsible for supporting the daily operations under the direction of the Sheriff/Undersheriff. Key duties include clerical and office tasks, maintaining confidentiality, overseeing administrative functions, and assisting individuals with various Sheriff's Office responsibilities. Additionally, the role involves maintaining records, processing requests, managing office equipment, and fostering effective relationships with stakeholders.

    General Duties and Responsibilities
    Essential Functions
    • Reports to and takes direction from the Sheriff/Undersheriff.
    • Shall successfully perform work in a variety of clerical and office duties to assist with the day-to-day operation of the Lake County Sheriff’s Office.
    • Work will generally be performed at the Lake County Sheriff’s Office, 505 Harrison Ave, with the hours of duty 8:00am to 5:00pm Monday through Friday.
    • Outside contacts require a high degree of tact, judgement, and technical knowledge.
    • Must maintain strict confidentiality regarding all information relating to the Lake County Sheriff's Office.
    • Oversee the administration office, evidence, and employees.
    • Assist individuals that walk into the office with a variety of Sheriff’s Office responsibilities including, but not limited to, concealed handgun permit, request for records, civil process, and general information.
    • Maintain agency records that are not assigned to, or the responsibility of, other departments or divisions.
    • Utilize and maintain procedures for systematic retention, protection retrieval, transfer, and disposal of records.
    • Process and maintain records request.
    • Process and maintain Civil Process service.
    • Ability and demonstrate knowledge of office procedures and equipment including computers and related typing/word processing, maintain office files, order office supplies and other clerical duties, including sending and retrieving of the office mail. Processing of office payroll.
    • Establish and maintain effective working relationships with those contacted in the course of work, to include staff, other entities, and citizens.
    • Ability to follow written and oral commands and standard operating procedures of the Lake County Sheriff's Office and to work with volunteers.
    • Must maintain all proficiency skills and requirements throughout the term of employment.
    • Perform other duties and responsibilities assigned by the Sheriff or Undersheriff.
    Supervisory Responsibilities
    Supervise two staff members and functions of the administrative office.

    Notice of Emergency/Disaster Responsibilities
    All Lake County Employees may be required to work as a Disaster Service Worker when a local declaration of emergency or disaster is declared by the Board of County Commissioners. To be prepared for this role, all employees and emergency service function (ESF) leads will attend emergency management training and exercises as requested by the Director of Emergency Management. With advanced notification from OEM, employees will make reasonable efforts to attend training events in coordination with other employees and supervisors.

    Requirements
    • HS Diploma, GED
    • Must be able to complete and successfully pass oral board and physical ability exam.
    • Must have the ability to see with or without corrective lenses, well enough to read letters and reports.
    • Must have the ability to hear with or without hearing aids, and to speak well enough to converse on phone and radio.
    • Must have enough mobility to climb, stoop, kneel, bend, crouch, twist, reach and lift 40 lbs.
    • Must have enough dexterity to write, type, and perform other office duties.
    • Must maintain a sufficient level of physical fitness to perform the essential functions of the job.
    • Proficiency in English and Spanish preferred.
    Physical Activity & Work Environment
    • Ability to work indoors in an office environment with prolonged periods of sitting at a desk and working at a computer.
    • Ability to hear with or without hearing aids, and to speak well enough to converse on the phone or two-way radio.
    • Ability to see with or without corrective lenses well enough to read letter and reports.
    • Shall have the ability to hear with or without hearing aids, and to speak well enough to converse on the phone or two-way radio.
    • Ability to climb, stoop, kneel, bend, crouch, twist, reach and lift up to 40lbs.
    • Ability dexterity to write, type and perform other office duties.
    • Attend training and seminars as necessary and/or as directed by Sheriff/Undersheriff to maintain a proficient knowledge of modern office practices and procedures.
