Contracts Administration Supervisor supervises and participates in the preparation of proposals, negotiation of contracts, and administration of commercial and government contracts in accordance with company policies and legal requirements. Contracts Administration Supervisor, a level I supervisor is considered a working supervisor with little authority for personnel actions. Being a Contracts Administration Supervisor may directly handle high profile Corporate National Accounts and other key customer contracts. May require a bachelor's degree. Additionally, Contracts Administration Supervisor typically reports to a manager or head of a unit/department. Working team member that may validate or coordinate the work of others on a support team. Suggests improvements to process, is a knowledge resource for other team members.     Essential Job Functions:

    • Responsible for scheduling, training and inspecting work completed by employees.
    • Involved in hiring and terminating employees.
    • Adheres to Contract Services standards and Scope of Services/ Statements of Work.
    • Trains employees to use equipment properly and safely.
    • Completes times sheets for payroll data entry; reviews payroll records for accuracy.
    • Orders supplies, reconciles deliveries to orders, and maintains equipment and equipment maintenance records.
    • Provides direct and indirect training and support for client/non client employees on an individual basis; provide positive reinforcement; serves as a role model; addresses behavior/performance problems.
    • Maintains client/non-client employee files; documents client/non-client employee progress according to contract regulations.
    • Completes all required reports on a daily, weekly, monthly and annual basis to meet regulations.
    • Communicates effectively, orally and in writing with employees, the public, NISH/RESPECT, other agencies, etc.; ensures compliance with the rules and regulations of the contract.
    • Operates standard office equipment to perform essential functions.
    • Performs other related duties as assigned.

    Minimum Education and/or Experience: High school diploma or GED and four (4) years experience in the janitorial and/or landscaping fields including (2) two years of progressively responsible supervisory experience; or any equivalent combination of training and/or experience which provides the required knowledge, abilities and skills.

    Knowledge/Skills/and Abilities:

    • Good knowledge of the basic principles, methods, practices and procedures used in
    • vocational labor and trades specific to janitorial and landscaping contracts.
    • Knowledge of the chemicals and hazards associated with cleaning supplies and/or lawn equipment.
    • Ability to plan, instruct, assign and supervise other supervisory staff.
    • Ability to inspect work and make recommendations for improvement.
    • Ability to utilize positive reinforcement techniques to encourage Contract Supervisors to obtain their maximum potential.
    • Ability to intervene and utilize de-escalation skill techniques to ensure the safety and well being of all employees.

    Necessary Special Requirements: Possession of a valid Florida driver's license, acceptable driving record, and proof of personal automobile insurance if required to drive an SMA vehicle and/or use a personal vehicle for SMA business. Complete State of Florida mandatory background screening prior to start of employment. Complete SMA required training during the first six (6) months of employment and updated if required.

    Physical: Mobility and ability to bend and reach during an 8-12 hour day. Able to lift minimum 10 pounds. Visual and auditory acuity sufficient to evaluate, intervene, treat, and record client health care needs. Fine motor skills for legible and accurate charting, daily correspondence and presentation, either manually or orally. Work endurance ability to work 8-12 hour shifts with a meal break, as possible. Routine 8-12 hour shifts. Hours and days off may vary. Extra hours may be required. Work assignment locations may vary.
