    POSITION SUMMARY

    This is an entry level contracts administration position that will report directly to the Company Contracts Manager. The candidate must be able to independently perform basic administrative tasks with willingness and ability to learn while increasing responsibilities over time.


    ESSENTIAL DUTIES AND RESPONSIBILITIES

    1. Prepare contract documentation through the contract life cycle which includes, but not limited to, proposal, award, changes, drafting general communication, and closeout. 
    2. Maintain contract files per company direction.
    3. Schedule meetings with cross functional groups internal and external to the company
    4. Abide by company policies and procedures.
    5. Assist with subcontract activities.
    6. Review of proprietary agreements and negotiation of terms
    7. Prepare and submit subcontracts-related reports and analysis.
    8. Administer daily contract activities for a variety of product lines and contract types, including cost reimbursable and firm fixed price; such activities will include establishing payment terms, initiating, and monitoring invoicing, collections, and funding to support financial objectives.
    9. Maintain effective relationships with customers, subcontractors and internal stakeholders. 
    10. Collaborate with other departments to ensure the successful execution of tasks and subcontracts.
    11. Participate in company and customer meetings, performing and monitoring compliance to contract requirements and leading change management process.
    12. Enter and manage data using company adopted systems to include Epicor ERP.


    SUPERVISORY RESPONSIBILITES

    This position does not have supervisory responsibilities.

    Requirements

    EXPERIENCE REQUIREMENTS

    1. Must be a self-starter, ability to work independently, and be able to work collaboratively with team members, both internal and external, at different levels.
    2. Must possess excellent decision-making skills that support resolution of complex problems while minimizing risk to the Company.
    3. Excellent communication and organizational skills with attention to detail
    4. Understand basic accounting principles and calculations using Excel
    5. Willing to learn in a fast-paced environment with growing responsibilities that may eventually include the following tasks:
    6. Negotiating contracts
    7. Manage conflicts in contract language
    8. Familiarity with the FAR, DFARS, other Federal Agency supplements, and commercial terms
    9. Lead proposal preparation, contract negotiation, and contract administration activities from proposal through closeout
    10. Responsible as the alternate point of contact for the Contracts Manager
    11. Advanced skills using MS Office suite (Excel, Word, PowerPoint)


    PREFERRED SKILLS AND ABILITIES

    1. Work with the Federal Government with procurement or contracts background for actions over $1M 
    2. Advanced capabilities with MS Word and Excel
    3. Strong analytical problem-solving skills
    4. Ability to adapt communication style and messaging to different audiences
    5. Ability to manage multiple priorities and projects simultaneously, ensuring stakeholder expectations are managed appropriately



    EDUCATION REQUIREMENTS

    Bachelor’s degree and at least one year experience with the qualifications below or six months with a Masters degree. Either degree must be from an accredited university in business, project management, engineering or similar field relevant to work expected to be performed.



    EMPLOYMENT REQUIREMENTS

    1. Due to contractual requirements must be a United States Citizen
    2. Must be able to pass an initial background check.
    3. Must be able to obtain and maintain an active Department of Defense security clearance. Employee/selected candidate will be subject to a government security investigation and must meet eligibility requirements for access to classified information (as required)
    4. Travel (CONUS and/or OCONUS) is limited but may be required to support customer requirements (<10%).
    5. ASI is a Drug Free Workplace where applicants and employees are required to successfully pass pre-employment and Random drug testing.


    PHYSICAL REQUIREMENTS


    1. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job:

    2. Must be able to perform normal office duties (sitting for long periods at a desk or while attending meetings).

    3. Must be able to travel CONUS/OCONUS via multiple types of transportation to include car and airplane.

    4. Must be able to climb stairs to enter and exit a simulator.

    5. Additional skills may be required to perform additional task(s) specific to work location, department, or line of business.


    WORK ENVIRONMENT

    1. Work is primarily performed in an office environment consisting of offices and cubicles with low to moderate noise and bright or dim lighting.

    2. The work is fast-paced and sometimes involves extreme deadline pressures.

    3. The nature of the work requires a high degree of teamwork and cooperation with other members of the staff as well as external customers.
