The Sisters of St. Joseph of Carondelet, Albany Province is a community of 280 women religious who promise to live entirely for God and for others. The center of the Albany Province is St. Joseph’s Provincial House in Latham, New York, which is not only the administrative center for the Province but also home to the Sisters who live and work together. The Provincial House employs approximately 75 lay staff.
We are seeking a Controller for the administration of the Province fiscal affairs in fulfillment of its mission and in accord with Generally Accepted Accounting Principles and state and federal regulatory agencies. The Controller is accountable to the Chief Financial Officer and will assume primary day-to-day responsibility for the Finance Office, including, but not limited to, financial accounting and reporting, tax return coordination, and budget preparation.
Essential Functions of the Position
- Financial accounting and reporting
- Actively supervise the Finance Office staff
- Prepare accurate monthly Financial Statements with an executive summary for the Chief Financial Officer. Review monthly results and prepare monthly variance analysis
- Oversee the preparation of the monthly department reports
- Develop, implement, and ensure compliance with internal financial and accounting policies and procedures
- Review statutory requirements of the Society including Charitable Status, Withholding Payments, Income Tax
- Prepare all supporting information for the annual audit and prepare the annual Financial Statements and work extensively with the external auditors as necessary
- Develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, and petty cash
- Review of monthly bank reconciliations
- Prepare monthly investment reconciliations. Oversee and review the investment reconciliations
- Manage the cash flow and prepare cash flow forecasts in accordance with policy, including the selection of invoices for check run
- Oversee the bookkeeping functions including maintenance of the general ledger, accounts payable, accounts receivable and payroll
- Serve as the backup staff for the preparation of the payroll
- Implement policies and procedures to ensure that financial information is secure and stored in compliance with policies and procedures
- Manage the acquisition of capital assets to ensure that assets are properly recorded, including the preparation and maintenance of a Fixed Asset Classic Schedule
- Prepare detailed analysis with explanations of variances to budget for contracts and capital outlay
- Develop and maintain a finance policies and procedures manual
- Assist the Chief Financial Officer with various projects as requested
- Coordinate the preparation of, supervise staff and prepare income tax returns for all Sisters in the Province, ordering of Tax Software
- Review of Form 1099’s for qualifying vendors and Sisters who have Patrimony
- Assist the Chief Financial Officer in preparing the annual budget for the Society
- Assist Department Managers and self-employed sisters in the preparation of annual department budgets as needed
- Oversee and supervise the administrative function of the Finance Office including safety of the work environment, and provision of furnishings and equipment necessary for effective operations
- Actively manage staff Paid Time Off to ensure that the Finance Office is adequately staffed at all times.
- Preparation of annual staff reviews
- Ensure adherence to records retention policy
- Other Duties as assigned
Qualifications
- Degree in Accounting\Professional designation
- Certified Public Accountant designation is an asset but not necessary
- 5 to 7 years of progressive financial responsibility
- Experience with a religious organization is highly desired but not necessary. Nonprofit accounting experience is desired
- Knowledge of generally accepted accounting principles
- Proficient in use of Microsoft Office suite of applications, SAGE accounting software, online communities, and other emerging technologies
