  • Job Summary:

    BHSSC is hiring an Administrative Coordinator for the Families First: Early Learning Foundations program. Families First is a Parents as Teachers Affiliate program providing free and voluntary coaching to Black Hills area families with children ages birth to kindergarten entry. The position will support a growing team and program in the areas of referral and intake management, community awareness and outreach, internal and external communication, data management, ordering and clerical duties.     Qualifications:

    • Live in the Northern Hills or Rapid City area.
    • High school diploma, general education degree (GED) or associate degree required. Vocational or college training in accounting or business administration preferred.
    • Two (2) years of experience in office work of a technical nature or an equivalent combination of education and experience may be acceptable to the hiring authority.
    • Extensive experience and knowledge in office procedures, filing, budgeting, and bookkeeping.
    • Experience and knowledge in operating office equipment, including computers and software.
    • Ability to flex between working independently, as a team, in person and virtually.
    • Experience or proficiency in Google Suite, Adobe, Microsoft, and data management systems.
    • Experience working with families and young children is preferred.

    Essential Duties and Responsibilities:

    • Coordinate client referrals and enrollments including phone calls, text messages, and emails.
    • Intake client information into an online database management system.
    • Assist the Families First team with planning and coordination of family and community events.
    • Participate in community outreach activities and family events as needed.
    • Order and organize supplies and resources for the Families First team and assist with distribution between offices.
    • Use word processing, spreadsheets, and google drive to enter, store, organize, and retrieve program and community information as requested.
    • Become familiar with program expectations, including timelines, and assist home visitors and the project coordinator to meet them.
    • Compose and send letters to clients and referral or resource agencies.
    • Participate in and document the minutes for meetings in person and virtually.
    • Assist in the coordination and communication between partnering organizations, including but not limited to phone calls, mailings, emails, and newsletters.
    • Maintain confidentiality and adhere to HIPAA regulations.
    • Compile and type reports to include weekly, monthly, and/or year-end reports in a timely manner.
    • Assist with inventory and check invoices against purchase orders.
    • Operate modern office equipment and virtual programs, including remote computer terminal, necessary to clerical and typing duties.
    • Attend training, seminars, and workshops as deemed necessary.
    • Perform all duties in compliance with safety standards established by BHSSC.
    • Perform other related duties as assigned.

    Job Type: Full-time

    Pay: $38,000.00 - $42,000.00 per year
