Development Associate – Corporate & Foundation Relations

Essential functions (job duties):
Job Purpose
Support the Corporate Relations and Foundation Relations teams with planning and implementation of corporate and grant-related development activities. Responsible for complex calendar management and office operations oversight. Prepare monthly fundraising production reports for department use and for use in preparing key performance indicators (KPIs). This position reports to the Senior Director, Foundation Relations.
Essential Functions

Assist the Foundation Relations (FR) and Corporate Relations (CR) teams with annual planning, implementation and monitoring of fundraising plans and preparation of corporate and grant-related work. Prepare and transmit donor contributions to central development for processing. Ensure timely entry of pending grants and donor contact reports in database.
Responsible for complex calendar management including scheduling meetings for senior directors with university leadership and faculty, and foundation and corporate partners. Schedule and coordinate weekly team meetings and semi-annual planning retreats, including responsibility for all meeting related logistics.
Organize, monitor, and expedite the routine operational duties of the office including greeting visitors, answering phones and directing calls and taking messages as necessary. Interface with other university units to obtain necessary information to resolve problems as needed.
Coordinate and manage travel arrangements for the Corporate Relations and Foundation Relations senior directors and senior officers. Act as delegate in TravelWayne for employee travel and other reimbursements for CR and FR team members.
Assist senior directors with annual budget request process. Review and monitor expenditures monthly to ensure compliance with university policies and procedures and are within the allocated budgets.
Audit monthly gift reports to ensure gifts are recorded properly and aligned with planned asks. Prepare monthly Key Performance Indicator report.
Perform other related duties as assigned.

Qualifications:
MINIMUM QUALIFICATIONS
Education
Bachelor's degree
Graduation from an accredited college or university with a degree in public relations, business administration or related field or combination of education and work experience. Reasonable knowledge and understanding of university policies and procedures.
Experience
Experienced (minimum 2 years of job-related experience)
Minimum 2-4 years of job-related experience in a higher-level administrative role and experience in program/ office management.
Prior experience in a higher education, non-profit organization preferred.
Proficient in Microsoft Office, knowledge of databases and bookkeeping required.
Knowledge, Skills and Abilities
COMMUNICATIONS SKILLS: Ability to communicate clearly, concisely and professionally both orally and in writing. Strong interpersonal skills are a must. Ability to work successfully with persons from diverse backgrounds.
PLANNING AND ORGANIZATION: Ability to manage several projects simultaneously, prioritize and plan work activities while meeting respective deadlines. Strong organizational and time-management skills required. Maturity, sound judgment and ability to handle multiple tasks simultaneously in a deadline-oriented environment.
ANALYTICAL AND PRESENTATION SKILLS: Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations. Must possess a demonstrated attention to detail in order to achieve a high degree of accuracy.
TECHNICAL SKILLS: Proficient in the use of complex administrative systems software, preferrably in the higher education environment. Proficient with Microsoft Office suite, especially Word, Excel and Teams. Ability to understand and translate complex concepts into lay terms.
LEARNING AGILITY: Independent and innovative self-starter who displays an ability to learn quickly and easily adapts to changing situations. Experience researching topics to gain knowledge and understanding when information gaps exist.
TEAMWORK: Ability to collaborate effectively with colleagues within the division and other units to gain full understanding of the project and desired outcome; ability to produce high quality and consistent results with assistance of team members; provide support to teammates when tackling complex projects.
