Responsible for shareholder relations, communicating with Board members and coordinating shareholder lists and registrations. Manages the coordination of Board and shareholder meetings and the preparation of all necessary agendas and documents required for the meetings. Additionally, Corporate Secretary the incumbent in this role is usually an officer of the corporation. May require a Juris Doctor degree. Typically reports to top management. The Corporate Secretary manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments. Comprehensive knowledge of the overall departmental function. This position reports to the Program Manager of the Support Services and Accounting/Financial Specialist unit for the Jackson County FOC and is located on Lansing Ave. and provides a broad range of secretarial and administrative functions to professional and management staff (including attorneys, referee's, magistrates, etc.). Performs a variety of tasks including answering and screening calls, processing incoming and outgoing mail, maintaining filing systems, scheduling appointments, interviews and hearings. Will use multiple computer applications to prepare various documents, correspondence and reports including but not limited to referee reports, bench warrants, court orders, income withholding orders, etc. Required to maintain confidentiality at all times, handle customer/client escalation calls, serve as a mandated reporter for CPS and may assist with the coordination of FMN/Smile Program.

    QUALIFICATIONS & SKILLS:

    Education: High school graduation or equivalent. College level coursework less than an Associates Degree in word processing, writing skills, law, paralegal or related areas.

    Experience: Two to three years of secretarial experience, preferably in a legal or Friend of the Court capacity. May require experience and training in various computer software and equipment. Type 45 wpm.

    Other Requirements: Court recorder certification preferred.

    Additional skills/knowledge: Familiarization with photographic, audio and video equipment; computer programs including word processing, spreadsheets, database entry/maintenance, and financial applications; knowledge of legal terms and processes; ability to effectively communicate with individuals during angry or emotional escalations.
